"Waffil" (Web Affiliation File) is a web tool CUIT has provided to
Departmental Administrators on Morningside Campus which will allow
schools and departments to authorize email accounts for new staff, new
faculty, casual employees, and contract consultants. It is also used by
the ID Office to confirm the issuing of ID cards. Waffil is not used to give access to students.
If you are new employee at Columbia and you have not yet received an
email account or an ID card, please speak to your Department Administrator
about authorizing this for you.
If you are a Departmental Administrator and you need help or have a question about waffil, believe
your department needs their
own waffil, wish to add/change/remove access to an existing waffil, or if you wish to change the waffil
adminstrator, you should send email to consultant@columbia.edu
or contact the Computing Support Center Help Desk.
You can connect to your waffil and check the run day
of your waffil. The User Guide is available in Word format.
Regardless of whether you are entering data for the purposes of email authorization for
a new employee or consultant or authorizing an ID Card, you must enter all the requested data in the
waffil. Please pay close attention to ensure SSN's are accurate and in the correct format.
Authorizing Email
- Always use the actual Social Security Numbers and never use "temporary"
information.
- If you do enter data for an individual who does not have a SSN, remember to enter the
SSN once the number is received.
- You must remember to extend the good until date for all casual and consultants.
- You must provide the UNI to the individual in order to activate the account. This is available in the
waffil AFTER your job has processed. Accounts should be activated at the myUNI page.
- The account will not be available for activation until the afternoon of the following
day of the next sequential run for your waffil. If your job runs on M-W-F and you enter a
record on Tuesday, the id cannot be activated until Thursday afternoon.
Authorizing ID Cards
- You will need to input a waffil entry if you are authorizing an ID card, even if that
person is a long-term staff member.
- Check the "good-until" date to ensure that has not expired. Click on the + sign if
you need to extend it and save the change.
- Unlike email authorization, ID card authorization is effective immediately.
