Site License Distribution Policies

There are certain policies that are adhered to for all licenses sub-licensed through CUIT and others that are specific to particular products. The general policies are categorized as follows with details below:

1. Pre-Payment Required

Payment must always precede software distribution. There will be no exceptions!! No software or renewal information will be given out until we have received some form of payment. Students licensing SAS software may pay by check made out to "Columbia University". All other payments must be made from a Columbia University FAS account with an IDI, University Requisition, or FFE document.

2. Site License Agreements Required

First time licensees must sign a site license agreement for each software they license. One copy is retained by CUIT and the other copy is given to the individual. Renewals must all be accompanied by a renewal form.

3. Bulk Purchases

Each of the site licenses offered by CUIT has a discount for bulk purchases. The conditions for receiving reduced pricing for bulk purchases is as follows:
  • All copies must be purchased at the same time.
  • Installations must be administered entirely by the person who has licensed the copies (or a department affiliate designated by them).
  • Any licensee purchasing directly from CUIT, i.e. where CUIT must distribute the media and/or make arrangements for installation, will be charged at the standard CUIT pricing, even if the individual is in a department which has purchased in bulk. For example, 1 additional copy will be charged at the cost of 1 copy as though it is the first copy purchased, since it is considered by CUIT to be a new license.
  • With CUIT's approval, additional bulk purchases must be made in increments of 5 or more. These additional purchases will be charged at the incremental rate.
4. Proration Policy

In general, we do not prorate for partial year licensing. For the first 10 months of the licensing period, the full cost of the software is charged for the remainder of the licensing year. Near the end of a license, however, we will do the following:
  • Two months before the license is due to expire, a new licensee may purchase the software for the remainder of the licensing term plus the following year for the cost of the subsequent year's license + $15/copy, e.g. SAS runs from September 1 through August 31 of each year. So it expires on August 31, 2001. The cost of purchasing a single copy on the PC is $155. Beginning on July 1, 2001, a new licensee can purchase the sofware for $155 + $15 = $170 and it will be paid for through August 31, 2002.
  • Two weeks before the expiration date, new licensees can purchase software for only the cost of the following year, and the two weeks of the current licensing term will be given gratis, e.g. Beginning on August 15, 2001, SAS can be purchased for the year 2001/2002 for $155 (or the current SAS price).
5. Media Distribution

Installation media is no longer loaned out by CUIT. Any new purchaser of software, or any licensee who would like to upgrade to a new version, must purchase the media containing the software at that media kit's price.

6. Support Issues

CUIT provides these licenses as a service to the Columbia community. We will answer questions about the installation and use of the software, but the licensee is responsible for doing their own installation and for understanding and maintaining his/her own hardware and operating system.
