Welcome, Treasurer!

Most likely, while you were in the bathroom, someone made you treasurer. But since you know nothing about the USO or Student Activities, you are at a loss for what to do next. Luckily, you have at your fingerstips the popular, elegant, and slightly organized

Games Club Guide to Money

Where to start:

  1. Find out where the USO is.
  2. Find out where the Office of Student Activities is.
  3. From either office, get a pile of E forms, USO Event Approval forms, and Space and Service Request forms.
  4. Find out how much money you have to spend. NOTE: This is not always easy. If someone isn't sure, ask someone else.
  5. Find out who your USO representative is. Then find out who your contact is at the Office of Student Activities.

Now you are ready to start using your money.

How to spend money:

  1. Make a budget. NOTE: This will change, but you should try to plan out a few major events. If you don't plan ahead, it will be harder to get things done.
  2. Now look at what you want to do and examine this chart:
Event CostNeed Space?What to do
Less than $25NoGet the receipts for everything you are going to buy. Fill out an E form and staple the receipts to the E form. Have the form signed by a rep in the Office of Student Activities. Give it to Financial Services in the same office.
YesFirst, fill out the Space and Service Request form ASAP. Turn this in at the Office of Student Activities. When you have all the receipts, follow the process above.
More than $25NoFill out the USO event approval form, even if this is not for an event. Have it signed by your USO rep. Take the form plus a completed E form to the Office of Student Activities. Have your contact there sign the E form. Buy what you need to buy, then attach the receipts to the E form. Give the E form to Financial Services.
YesFill out the Space and Service Request form ASAP. Turn it in in the Office of Student Activities. Then, follow the steps above.

A few other notes: if you are the treasurer and you are the one on the E form getting reimbursed, have another club member co-sign the form. Otherwise, you will get harassed. They claim they don't want you embezzling.

Also, always closely check the statements you get every month. You can be mischarged for other club's expenses. The only way to fix this is to pay close attention to how much money is spent.

That's all for the Games Club Guide to Money. This is only a rough sketch of what you will need to do, as they will change their procedures to make getting money more difficult.
