DIGITIZING, MICROFILMING, SALES TO THE PUBLIC AND PLACEMENT IN THE LIBRARIES

The dissertation must be made available to the scholarly public. The dissertation is not written merely to satisfy a degree requirement but also to advance knowledge and understanding. The Graduate School of Arts and Sciences advises the author not to restrict availability unless a publishing agreement is imminent.

Anyone affiliated with Columbia or any other institution that subscribes to Digital Dissertations may download the full text of any Columbia dissertation published since 1997 (a 24-page downloadable preview is available to the public regardless of affiliation.) The Digital Dissertations database also contains citations for dissertations published 1872-1996; abstracts are included for dissertations published 1980-1996. The dissertation will also be listed in Dissertation Abstracts International and Comprehensive Dissertation Index, two other resources published (on paper) by ProQuest although Columbia does not subscribe to them. The Columbia community may access Digital Dissertations on Library Web:

After ProQuest makes a digital master, the company is legally required to send a copy to the Library of Congress, where it is kept either in its main collection or at the Copyright Office (housed at the Library) if the dissertation is being officially listed there, see Copyrighting the Thesis.

ProQuest Information and Learning returns the second copy to Columbia to be bound, catalogued and placed in the Butler Library Rare Book Columbiana collection. It will be available as a non-circulating copy approximately six to ten months after the degree is conferred.

Among the forms required at the deposit are pages 3 and 4 of the ProQuest “Publishing your Dissertation” booklet, where the author must choose the Public Availability of his or her Dissertation. This form, together with the extra title page and abstract, is sent to ProQuest by the Dissertation Office along with the dissertation. Online availability of the dissertation through ProQuest can take 4 to 8 months from the degree conferral.

ProQuest sells softcover and hardcover books and microfiche copies of the dissertation. The author discount order form may be submitted at the time of the deposit. ProQuest ships personal copies to only one address per order form. The order is generally processed for shipment about 4 to 8 months from the degree conferral date. To check on the progress of the order, contact ProQuest directly at (800) 521-0600, extension 2146. The applicable tax rate on the ProQuest order is the rate of the state to which the ordered material is sent. ProQuest will accept money orders, personal checks and credit cards for purchase of personal copies.

Copies are available to the general public at approximately the time that the abstract appears in the ProQuest Digital Dissertations database, except where the author placed restrictions.

The Public Availability of the Dissertations form addresses the following questions: To what extent, if any, should ProQuest limit the sale of copies of the dissertation to the public? To what extent, if any, should the dissertation be withheld? There are several choices and they are explained in detail in the ProQuest “Publishing your Dissertation” booklet.

The dissertation title and author name can be discovered through major search engines such as Google Scholar as well as at ProQuest.com

Dissertation is accessible to the public and can be downloaded from ProQuest.com by anyone at no cost. ProQuest may also sell the dissertation in digital & other formats

Accessible only through subscription to ProQuest database, where dissertation can be viewed and downloaded for free by subscribers. Non-subscribers can view the first 24 pages and purchase the dissertation as a PDF file, or in book and other formats

No Search Engine Access: The dissertation cannot be discovered through search engines such as Google when searching by keywords/metadata.

Third Party Sales: No longer applicable since ProQuest discontinued third party sales.

Embargo: Sales Restrict and Withhold of the dissertation. The body of the dissertation is withheld from view and the dissertation is not sold for a certain amount of time. This restriction may be lifted, or extended, by writing to ProQuest directly. The title and abstract are made available online.

Placing an Embargo on the Publication of the Dissertation

In some cases when a publishing agreement is imminent, the author may choose to place an embargo on the publication of the dissertation for six months, one, or two years. The embargo may be lifted, or extended, by writing to ProQuest directly (see the ProQuest Publishing your Dissertation booklet for sample letters.) The Dissertation Office forwards one copy of the dissertation to ProQuest for storage until the embargo period has expired. Note that the abstract will be included in the company’s on-line and paper publications a number of months after the degree conferral. Upon the expiration of the embargo period, ProQuest will produce a digital master and will publish the dissertation according to the author’s choices on the Public Availability of the Dissertation form.

The other copy of the dissertation is kept with the Graduate School and is available to readers only with the written permission of the author. Readers may view embargoed dissertations only in the Dissertation Office and no photocopying of any part of the dissertation is allowed. Once the embargo period expires this copy of the dissertation will be bound and sent to the appropriate Columbia Library.

When placing an embargo on the publication of the dissertation, the author should submit at the deposit both page 3 and 4 of the Public Availability of the Dissertation form as well as the Embargo form.
