Formatting

Students are encouraged
to bring in, fax or email sample pages to the Dissertation Office if they have questions or to confirm that the formatting is acceptable. This may save considerable aggravation and expense.

Margins

Top, right, and bottom margins must be one inch minimum; the left margin (binding side) must be at least one and one half inches. All material, including figures, tables, headers/footers, footnotes/endnotes, and images must appear within the margins of the manuscript. Page numbers are the only exception; these must appear at least three quarters of an inch (3/4”) from the edge of the page, but can appear in the one-inch margin. Charts, graphs, and illustrations may be placed horizontally in order to conform to the margin requirements as long as they remain clear and legible. Musical scores must have at least one inch margins on each side.

Spacing

The text, abstract, dedication, acknowledgements, and table of contents are double-spaced. Normally, quotations of eight lines or more are indented and single-spaced except where accent marks and similar notations are used. Footnotes, endnotes, and bibliographic entries should be single-spaced with double spacing between each entry. All pages must be single-sided only.

Footnotes

Reference notes may be placed at the bottom of the page, at the end of the chapter, or at the end of the dissertation before the bibliography. Dissertations in the natural sciences and in some social sciences place citations to the reference or source material in parentheses throughout the text itself with a list of all references in the latter part of the work. The student should verify the desired footnote style with the advisor or the department/program.

2. References and/or Bibliography

3. Appendices (if applicable)

The various pages and sections of the dissertation must follow the order in the table above.

* Title, copyright and abstract pages are not numbered and are not counted.

** All prefatory pages, including table of contents; list of charts, graphs, illustrations and the like; acknowledgements; dedication; and preface, in that order, are to be numbered with lower-case Roman numerals, beginning with “i” and numbered consecutively. They must be centered at the bottom of the page, beginning with “i” and be no closer than one half inch from the bottom edge of the page.

*** All Other Pages, including the main body of the dissertation (which contains the introduction, chapters, graphs, photos, figures, and tables) bibliography, and appendices should be numbered with Arabic numerals, starting with 1 on the upper right-hand corner (see page 19 for sample.) They must be distinct from the text and must appear at least three quarters of an inch (3/4”) from the edge of the page, but do not need to appear within the margin. The reader should be able to see easily each page number as he/she pages through the dissertation. Page numbers must be placed in the same location and upright position whether the page contents are in “landscape” or in “portrait” format.
The references (and bibliography) and appendices should be numbered consecutively with the main body of the dissertation.

If a part of the dissertation has been paginated prior to inclusion in the dissertation (e.g., a journal article,) page numbers must be added (as described in item 2 above,) and run consecutively and continuously with page numbers in the text that precede and follow it.

Beginning chapter and, if applicable, volume pages must be counted and also numbered.

Font

Any legible standard font, except script or ornamental fonts, equivalent in scale to 10pt. Arial or 12 pt. Times New Roman are acceptable (i.e. Arial, Georgia, Times New Roman, Trebuchet MS, and Verdana.) The font should be uniform throughout the text, although a separate font may be used for footnotes, tables, graphs or appendices, pagination, the abstract, and the table of contents. Print quality should be equal to laser printing, with crisp, dark black characters.

The pages should be formatted in the following way {see sample}

Title, Copyright and Abstract Pages

The title page should be formatted in the following way {see sample}

Notes on the Title Page:

  • If the student is in [A], use [B] on the title page; the table below gives examples:
A (program or department)
B (school)

Philosophy

Graduate School of Arts and Sciences

Engineering Science

Fu Foundation School of Engineering and Applied Science

The Science of Law

School of Law

Musical Arts

Graduate School of Arts and Sciences

Nursing Science

School of Nursing

  • If the student is in a program administered by a Doctoral Program Subcommittee rather than a department, replace "in the [B]" with "under the Executive Committee of the Graduate School of Arts and Sciences". Programs that are administered by Doctoral Program Subcommittees are: Architecture, Biomedical Informatics, Biostatistics, Business, Cellular, Molecular and Biophysical Studies, Chemical Physics, Classical Studies, Communications, Education (Teachers College), Environmental Health Sciences, Epidemiology, Neurobiology and Behavior, Nutrition, Social Work, Sociomedical Sciences, Theatre, and Urban Planning.
  • The year on the title page must be the calendar year in which the degree is conferred. The year on the copyright page should be the calendar year in which the manuscript was completed or the year in which the dissertation is deposited.

Teachers College

TC students please note: the title pages of the two deposit copies (see below) should list only the author’s name and no other names. The extra title page should list the author’s and advisor’s name but no other names.

The author’s name used on the dissertation title page should be the same as that on the Registrar’s records. An affidavit form is available at the Student Service Center in 210 Kent if the author wishes to notify the University of a name change, see here.

Copyright page

The proper form secures the copyright for your dissertation {see sample}

The year on the copyright page should be the calendar year in which the manuscript was completed or the year in which the dissertation is deposited.

Center this text in the lower third of the page. The circled "c" must be lower case. The copyright page follows the title page and does not have a page number. More information on copyrighting the thesis can be found here.

Abstract

Prefacing the text of the abstract is the word Abstract, followed on the next line by the title of your dissertation, then your name. There is no word limit for the abstract. However, ProQuest publishes print indices in which abstracts are limited to 350 words. In the editorial process for these print publications, ProQuest will simply truncate the abstract if it exceeds these word limits, so you may wish to limit the length of your abstract if this concerns you. The abstract as you submit it will NOT be altered in your published manuscript. The print publications are Digital Dissertations (on-line); Dissertation Abstracts International (paper-based); and Comprehensive Dissertations Index (paper-based.)

The format is as follows {see sample}

Do not put diagrams, photocopies, abbreviations, or formulae in the abstract. The abstract comes after the title and copyright pages, has no page number, and is double-spaced.
