Check-In & Check-Out

Check-In

You must complete the following in order to officially Check-In:

  1. Obtain the appropriate suite and/or room keys.
  2. Obtain a building security sticker, which allows access to your residence hall.
  3. Complete your Web Inventory Report and review with your RA within 48 hours of moving into your room.

Web Inventory Report - the new RCR

The Web Inventory Report is an updated version of the RCR, or Room Condition Report. It is a form used to assess your liability charges for any damages or missing items in your room attributable to you during the term of your occupancy.

Please note that all conditions will be automatically marked as “Good,” but that you may note any pre-existing damages in the Notes section.Please review any specific issues with your RA. Once you submit the online Web Inventory, you will receive an email that confirms that this process is complete.

Please note that damages or missing items recorded on your Web Inventory Report upon Check-In will be reported to Facilities for future repair, but are not automatically repaired and/or replaced. Any problems requiring service must be reported by filling out a Maintenance Request. Residents in 47 Claremont, 548 W. 113th Street, 600 W.113th Street and Harmony Hall should submit their Maintenance Requests by contacting their superintendent, or by calling 212-854-9301. Please note that due to the influx of tickets during the Check-In period, it may take longer than normal to respond to non-emergency Maintenance Requests.

Emergencies should not be reported on the Web Inventory Report. All emergencies should be reported by contacting the Hospitality Desk at 212-854-2779.

Your Web Inventory will also be reviewed by you and your RA at Check-Out to verify that nothing was damaged during your term of occupancy. All damages not reported at the beginning of your occupancy will be subject to billing charges. For more information, please see Damage to Property.

Check-Out

Non-Seniors must vacate their rooms within 24 hours after the last exam or by 12:00 noon on Saturday, May 16, 2009 whichever is sooner. Seniors must vacate their room by noon on Thursday, May 21.

If you do not vacate your room and Check-Out by the scheduled time of 12:00 noon, you will be charged a late Check-Out fee of $100 for the first hour and $50 for each additional hour. This INCLUDES a late Check-Out through the Express Check-Out Box. Housing Services employees will be collecting the Check-Out envelopes at 12:00 noon, and any envelopes submitted to the Express Check-Out Box past 12:00 noon will be considered late and subject to late fees. In addition, any residents who are remaining in their rooms after 12:00 noon will be subject to these same late fees.

You will be recorded as having checked-out only after:

  • All keys issued to you at Check-In have been returned, either by returning them to the Express Check-Out Box near the security desk of your residence hall or at the Hartley Hospitality Desk. If you fail to return your suite and/or room key(s), you will be charged $10 for each unreturned key and $50 for a lock change.
  • Each resident must return a signed Check-Out envelope to either the Express Check-Out Box or to the Hartley Hospitality Desk in order to be considered checked-out. If you are in a residence hall in which your Columbia ID Card is your room key, such as 600 W. 113th St., 604/606 114th Street, River, Ruggles, East Campus Sixth Floor, First Floor of McBain, and Wien, you will still need to return a signed envelope so that Housing Services is aware that you have checked-out. Residents from these buildings will submit empty envelopes to the Express Check-Out Box or the Hartley Hospitality Desk, but the envelopes must be signed.
