Student Space Requests

Lerner Hall and Residence Hall Lounges

Representatives of recognized student groups may reserve space in Lerner Hall and Residence Hall lounges online through the Event Management System (EMS).  View the EMS Guide to Space Reservations.

Space is available on a first-come, first-served basis, and confirmation will be returned within 72 hours of the request. If the space required falls within 72 hours of the event, you must come in person with your advisor’s approval and we will confirm your reservation, based upon space availability, on the spot. Space assignments are considered final. In the event of a safety concern, a comparable alternate space will be provided.

Classrooms and Outdoor Space

Unfortunately, EMS cannot be used to request classrooms or outdoor space. Please complete a Space Request Form with your advisor’s signature for approval, and submit it in person to a University Event Staff member on the 7th floor of Lerner Hall.

Student activity begins after 5:00 p.m. Mondays-Fridays and continues all day Saturday and Sundays.

Recognized student groups wishing to organize a BBQ on campus should follow the UEM Guidelines for Barbecue Events.

Space Availability for Recognized Student Groups

Student groups can only book events when classes are in session during the fall and spring terms. Groups looking to book space in between terms are able to do so through the UEM staff on the 7th floor of Lerner Hall. Such requests are treated as Affiliate events and are subject to all appropriate fees. The benefit of booking space and services free of charge only applies to events held during the fall and spring terms.

The pre-calendaring process allows recognized student groups to receive first priority for reserving space when classes are in session during the fall and spring terms. After the pre-calendaring period, recognized student groups also have top priority in reserving space after 5:00 p.m. on weekday, evenings and on weekends during the fall and spring terms.

All recognized student groups, both undergraduate and graduate, will have their requests considered on a first-come, first-served basis.

Fee Structure 

During the term recognized student groups are entitled to use space, technical equipment and furniture free-of-charge. They are only responsible for the following costs:

  • Technical Services personnel for Audio Visual needs ($18/hour per technician or $34 set up fee)
  • Equipment or furniture not in UEM inventory.
  • Maintenance services for extraordinary clean up. ($46/hour per employee)
  • Proctors for events with alcohol ($20/hour per proctor)
  • Public Safety personnel, if an event review deems that that an extraordinary number of officers are needed ($49.32 per officer during the daytime and $53.32 for the night shift, $60.70/hour per supervisor)
