Pre-Calendaring : Overview

The pre-calendaring process allows recognized Student Groups to request space in Lerner Hall for the subsequent term. It is held twice a year in order to identify dates and locations in advance for significant events, meetings and receptions in Lerner Hall.

Typically pre-calendaring is a two week process. For the spring term, pre-calendaring is held in the fall term of the academic year; pre-calendaring for the fall term is held in the spring term of the prior academic year. Any recognized Student Group interested in reserving space in advance must submit a pre-calendaring space request during this window.


Submitting a Pre-Calendaring Request

Pre-calendaring allows recognized Student Groups to request space for the following term. The process includes the following steps:

  • The term prior, pre-calendaring applications will be available to representatives of recognized Student Groups.
  • Advisors will be available to assist with program planning and space requests during the pre-calendaring period.
  • Space requests can be submitted during the entire pre-calendaring period. An advisor must approve and sign each form before submitting. Application date will be stamped on all forms.
  • Pre-calendaring space requests are due to advisors upon the given, firm deadline.
  • Confirmations will be available to be viewed online and will be sent via email.
  • Some dates are not available for request. The Lerner website will list these dates.

How Pre-Calendaring Works

A Space Request form must be filled out for each individual event, as well as for any recurring meetings/rehearsals. Space Request forms must be signed by the Student Group's advisor.

Additional paperwork is required only if set-up and/or technical equipment and assistance are needed.

Applications are date-stamped when submitted. Requests for rehearsals and meetings are considered on a first come, first served basis. Late applications are not considered until the first day of the actual term.

Groups will only receive one slot per week for a weekly meeting or a rehearsal as part of the pre-calendaring process. However, during the regular school year, Student Groups may apply for additional space and will be accommodated based on availability.

Confirmations are sent out via email before the start of the new semester.

Confirmation of space does not indicate approval of an event. Event approval follows the existing guidelines found in the University Event Management Student Event Policy.

Black Box Theater

Recognized Student Groups may also submit a space request for the Black Box Theater during the designated pre-calendaring periods.

All reservation requests are considered tentative until a production proposal is submitted. Performance Proposal forms are available in the office of Student Development and Activities in Lerner Hall.


Classroom and Outdoor Space

The pre-calendaring process is for space in Lerner Hall only. Classroom and outdoor space cannot be reserved through the pre-calendaring process. These requests can be submitted at any time during the academic year but will only be processed beginning the first day of classes each term.
