CU Notes & Tasks, 4/12/2001

1. Metadata Preparation  
1.1. Extract RLIN G&G metadata and experiment with output formatting options (e.g., delimited, MS Access, HTML, Excel)  (Bertchume, Davis)  
1.2. Evaluate extract and develop spec for three possible uses/ versions of file (Parks, Blitz):

a) imaging vendor operational metadata/documentation
b) contribution to G&G project database
c) use internally for EAD preparation, etc.
 
1.3.

Proofread & edit G&G records in RLIN as needed (Parks, Blitz)

  
1.4. Catalog photos and other project-related materials in RLIN VIM, etc. (Parks, Blitz)  
1.5. Download any new or changed RLIN records into CLIO (Parks, Blitz)  
1.6. Document any RLIN-to-CLIO record splits (Parks, Blitz)  
1.7. Re-extract G&G metadata & re-output to mdb & html (Bertchume)  
1.8. Determine the format of image links to be included in data contributed to Project, and generate in metadata (Bertchume, Witte, Davis)  
1.9. Provide full CU G&G metadata to G&G Project Coordinator in format to be negotiated (Bertchume, Davis)  

2. EADmaker Review & Testing  
2.1.

Make EADmaker available to Avery, LSO, Preservation over the network to review for use in this or related projects (Davis, LSO)

  
2.2. Determine feasibility of loading RLIN data into EADmaker (Davis, Bertchume)  
2.4. Determine feasibility of creating real-time views (Access reports) of EADmaker data for operational use (Davis, Bertchume)  
2.5. Perform detailed analysis of whether EADmaker could be developed as front-end or component of MMF (Davis, Bertchume, Wolven, LSO)  

3. Columbia G&G Local Finding Aid  
3.1.

Obtain & install XMetal in Avery & LSO (includes configuring with EAD DD & appropriate style sheets) (LSO)

  
3.2. Convert & reformat G&G RLIN metadata into EAD-like document structure (Bertchume)  
3.3. Load G&G extract into XMetal and finish up finding aid creation (Blitz, Parks)  
3.4. Convert finding aid into HTML & publish to LibraryWeb (with all image links)  

3. Image Digitization  
3.1. Investigate MrSid licensing and technical requirements (Davis, Millman)  
3.2. Determine which G&G project drawings should be rescanned to highlight on web site (Parks, Giral)  
3.3.

Send out RFP; select vendor; establish timetable (Bukowy, Giral)

  
3.4. Provide metadata/accession number listing to vendor (Bertchume, Bukowy)  

4. Project Communication / Collaboration  
4.1. Make available on web Columbia G&G metadata and technical specs for review by other project participants (Davis)  
4.2. Spec out & generate name and subject lists to share with partners as possible project authority files/thesauri (Blitz, Bertchume)  
4.3.

Send Columbia metadata specs/ format for dates/date spans to partners (Davis)

  
4.4.
