Circulation Check-In Workflow:
Circulation staff in Individual Libraries:
1. Verify individual library destination cardin outside slot of ReCAP
tote.
2. Open tote; check packing manifest for correct delivery location;
compare packing manifest to items inside tote.
a. If item in tote is not on manifest, look up barcode in Tracking System.
If item was requested
for delivery to another library, hand-deliver to the correct library.
If item does not appear in tracking system, return it to RECAP
If item was requested for your library, continue.
b. If item on manifest is not in tote, send email notification
to [email protected], including the barcode number.
3. Apply ReCAP sticker to spine of each item.
4. Use cunix based staff side utility [rus], to generate Email notification
for patron & Request information to print for each book. [Please note that
upper & lower case matters -- this utility is very "case sensative".]
To use the staff side utility:
a. In staff member's cunix account, type
b. Enter 2-letter delivery location code from the list.

d. Enter 1, for item check-in.
e. On the next page, type or scan in the book barcode.
f. If item is in envelope, determine if it is in condition to circulate;
if no, type "f" & Patron will be notified that item must be used in the library.
g. An automatic email notification will go to the patron.
h. Print request information page.
5. Insert printout in book and check off on manifest.
6. Charge items to Hold Pseudo-patron.
[Note: Do NOT place a Hold on these items.]
7. Put volumes on Offsite hold shelf.
8. When patron arrives, check out item as usual. If LOAN CODE = None, do not
desensitize (item must be used in library).
9. If patron has not picked up item after 10 days, discharge from Hold Pseudo-patron
and return item to ReCAP.
Note: Processing of Previously Identified Damaged Materials
Many damaged items have been identified during processing for ReCAP.
Some damaged items have been placed in custom-fitted boxes, preservation
cases, or tyvek envelopes. Others have been tied with string. The damage is
noted in the CLIO record.
- When a damaged item is received to fill a patron request,
access/circulation staff should evaluate the item to determine if it can be
used safely. Consult with Preservation if necessary.
- If it cannot be used, the patron should be assisted to request a different
copy through Borrow Direct or other means. Wrap the item carefully in
bubblewrap, making sure not to break off pieces of pages. Send it to the
Preservation Department with a note that it is a "previously identified
damaged item".
- If it can be used, the patron should be notified that the item is
available for in-building use only due to its fragile condition.
- Once the patron has finished with the item, wrap it carefully in
bubblewrap, making sure not to break off pieces of pages. Send it to the
