Circulation Returns Workflow

1) Patron returns item.

Circulation staff in Individual Libraries:

2) When item with external Offsite barcode is returned, discharge as usual.

3) When item is returned, check if item has Preservation Review flag set.


a) If the ITEM CONDITIONS = FRGL or TIED or the material appears fragile, check out item to Preservation pseudo-patron. Send to Preservation Division. If the discharged item is at the owning library, the item can be sent for preservation review at that library.

b) If ITEM CONDITIONS = ENVE, make sure item has protective envelope (with barcode) or string.

4) Differentiate among Clancy, Annex, Prentis, ReCAP and Stacks material:

a) When ReCAP stickers are applied, these will identify the ReCAP items. If there is not a sticker, ReCAP materials can also be identified in the item records by an Action Date after January 1, 2001.

b) Annex books have "Annex" stamped on the inside of the back cover of the book.

c) Prentis books have "Prentis" stamped on the inside of the back cover of the book. Prentis items should also have an ANX2 label on the outside front or spine of the book.

d) If item has an offsite barcode on the outside of the book and no ReCAP sticker, check CLIO for location:
If location is off,___ and ACTION date is "none" return to Clancy.
If location is off,___ and ACTION date is after January 1, 2002, return to ReCAP.
If location is ___,anx2 reshelve in appropriate area.

Note: There is currently a barcoding project ongoing in Prentis, such that those items will still be at Prentis, but will have an offsite barcode on the outside of the book. Clancy items will have an offsite barcode on the outside of the book and NO stamp on the inside of the back cover of the book. Some items will continue to be at Clancy through July of 2001.

5) For items in envelopes, verify that the barcode on the book inside the envelope and the barcode on the outside of the envelope match.
If they do not match, contact [email protected], including the barcodes of the item and of the envelope.

6) Use gray ReCAP tote for returning items. Turn the delivery location label on the outside of the tote around so that it says RECAP on it. Pack items into the tote.

a) For Normal Size Volumes:
· Volumes must be packed in totes spine down in a single layer.
· If volumes are in envelopes, feel for the spine to know which way to place the volume.
· Use foam pieces on sides and on top to prevent volumes from shifting during delivery.

b) For Oversize Volumes:
· If a volume is too large to fit in the tote spine down, place it flat in the tote, supported fully by foam underneath and use foam pieces on sides to prevent volume from shifting during delivery.
· If a volume is too large to fit flat in the smaller-size tote, use the large-size tote.
· Oversize volumes can be stacked 3-4 high. · Make sure that heavier volumes are on the bottom, lighter ones on the top.
· Use foam pieces on sides and on top to prevent volumes from shifting during delivery.

c) For Boxes:
· Keep all boxes right side up inside the tote.
· Flat boxes can be stacked 2-3 high.
· Make sure that heavier or larger boxes are on the bottom, lighter or smaller ones on the top.
· Use foam pieces on sides and on top to prevent boxes from shifting during delivery.

d) For Oversize Boxes:
· If a box is too large to fit into the normal-size tote right side up, use the larger-size tote.
· If a box is too large to fit into the larger-size tote right side up, it will have to travel outside of a tote. Wrap such boxes with a strip 3 inch wide shrink wrap, wound approximately 3 times around to ensure that the lid stays properly in place.
· Keep all loose boxes right side up.

Note: When Handling Totes
· Keep totes flat and right side up at all times.
· Avoid dropping or tossing totes, even for short distances. The contents are frequently fragile and likely to be damaged easily.
· Totes may be stacked up to 3 high.
· When transporting oversize boxes or items that do not fit inside totes, never stack totes on top of the oversize boxes or items.

7) When tote is ready for return, place a notice on top of the items inside the tote that says: REFILE for

a)For the regular collection, use CU as the customer code.

b)For restricted items, the customer codes include:
AR for Avery
EV for Starr East Asian Vernacular (CJK)
MR for Music
BS for Business
RS for RBML

Place lid on tote, making sure that hinged edge is closed and fasten the other edge with a plastic cable tie through the hole in the edge. Totes ready for return to ReCAP should be sealed by 9:15am to be ready for pickup.

8) CUL Shipping & Receiving staff pick up sealed Return Totes and take them to Butler Mailroom.

9) ReCAP Courier picks up Returns and delivers them to ReCAP where they are processed.
