NAME HEADINGS ON UKM, NLC AND AUT RECORDS

Authority Procedures

  1. Background:

    Records created by the British Library (UKM), the National Library of Canada (NLC) and the National Library of Australia (AUT) may contain name headings formulated differently than they would be by American libraries. These differences may prevent automated authorities processing from finding a match in the national authority file (NAF) for the headings in these records. It is therefore necessary to manually verify name headings found in cataloging copy created by one of these libraries.

  2. Procedures:

    Notes: 1) these procedures apply only when cataloging using copy that includes either UKM, NLC or AUT anywhere in the 040 field; 2) these procedures apply to name headings found in 1XX, 6XX or 7XX fields; 3) it is not necessary to follow the verification procedures in this document if the record with UKM, NLC or AUT also has an 042 field with pcc.

  3. Search each author’s name found in the record (personal, corporate conference) in CLIO using the "fi jx" command.

  4. Look for an "established heading" in the index display for the author'’s name in CLIO. If there is no established heading in CLIO, logon to OCLC and choose the authority file (af in OCLC). Search the author's name.

    1. If there is an authority record in either CLIO or the NAF, examine the form of the name found in the 1XX field.

      1. If the form of the name in the 1XX field of the authority record exactly matches the form found in the cataloging copy, there is no need to adjust the copy.

      2. If the form of the name in the 1XX field of the authority record does not match exactly the form found in the cataloging copy, adjust (using copy and paste, if appropriate) the cataloging copy to match the authority record.

      3. If you are not certain that the authority record found represents the author of the item in hand, do not adjust the copy to match the authority record. Accept the form of the name as found in the cataloging copy.

    2. If there is no authority record in either CLIO or the NAF, accept the form of the name found in the cataloging copy.
