CIP COMPLETION

Bibliographic Record Procedures
  1. BACKGROUND

    CIP (Cataloging in Publication) records are Library of Congress records based on prepublication information provided by the publisher. All CIP records were formerly cataloged to full level. However, beginning in November 1998, LC began cataloging CIP records to core level. After November 1998 both core and full CIP records may be encountered. Core and full CIP records are distinguished from one another by the presence of an 042 field with "pcc" in the core records.

    Use these procedures to complete CIP records in CLIO. These instructions describe procedures that are unique to CIP records. All other instructions regarding bibliographic and holdings records are in effect and they are not repeated here.

  3. Procedures

    1. Series--Search any series present on the book following the procedures in CPM305 , before beginning to process the book in hand.

    2. Bibliographic record

      Proofread bibliographic data according to the copy editing guidelines in CPM 470, paying special attention to the following areas:

      1. Fixed fields:

        • E/L: if there is an 042 field with pcc present in the record, overtype the 8 in E/L with 4. The presence of the 042 field means that LC has cataloged the work to core level. If there is no 042 with pcc present in the record, delete the 8, leaving E/L blank.
        • DT/1: if necessary adjust the date found in DT/1 to agree with the publication date found in the book.
        • ILLUS: if the book contains illustrations of any kind, enter a into ILLUS.

      2. Variable fields:

        • 040: add ¹ dNNC
        • 100: check to be sure that the author in the 100 field is listed first on the title page if there is more than one author. If a different author is listed first on the title page, replace the name in the 100 field with the author listed first on the title page and also make the necessary change to the 245 ¹ c (see below).
        • 245: make any necessary adjustments to the title and statement(s) of responsibility in order to match the book in hand. Pay particular attention to the order in which multiple authors are listed.
        • 260: adjust the date in ¹ c to match the book in hand, if necessary.
        • 300: add the physical description to the 300. If the book has complicated or irregular paging, consult a supervisor. Describe all illustrative matter as ill. Measure the height of the book in centimeters, rounding up to the next whole centimeter, e.g. 26 cm., not 25.1 cm.

          Examples:

          300: : ¹ a xxi, 120 p. : ¹ b ill. ; ¹ c 23 cm.

          300: : ¹ a 30 p., [8] p. of plates ; ¹ c 25 cm.

          300: : ¹ a 321 leaves ; ¹ c 24 cm.

          300: : ¹ a v. ; ¹ c 25 cm.

        • 4XX:

          If the record lacks a series statement and/or tracing but the book in hand is clearly part of a series, some combination of 4XX/8XX must be added to the record. Search the NAF in OCLC for the series found on the book (series statements may appear on the t.p. or other preliminaries, in the colophon, on the jacket, on the cover or on a flap.

            If the series is found in the NAF:

            • If the form of the series found in the 130 field of the authority record matches the statement in the book, record the series title in a 440 field, including all necessary subfields.

            • If any of the references (e.g. 410, 430) in the authority record match the book and the series is traced, record the series statement from the book in a 490 field with the first indicator 1 and also add an 830 field using the established form of the series from the 130 field of the authority record.

            • If the series is not traced, Go to CPM308 to determine whether the series is traced at Columbia. Record the series statement from the book into a 490 field with first indicator 0.

            If the series is not found in the NAF, track the book to MSP and add a note to the T2" "CIP/series not established."

        • If there is a series in the record, but no series statement appears in the book, delete the series statement from the record. (If the only appearance of a series statement is in the CIP information, disregard it and delete the series statement from the record.)

        • 504: if the item contains bibliographic citations in any form, input the following note in the 504 field: Includes bibliographical references. If the item has a single bibliography, add pagination/foliation to the note.

          Examples:

          Includes bibliographical references (p. 310-325)

          Includes bibliographical references (leaves 114-115)

          Includes bibliographical references (v. 5, p. 407-409)

    3. Copy holdings record

      If the item uses LC classification, use the c050 command to copy the call number from the bibliographic record into CHLD. If the publication date in the call number is incorrect, correct it on the CHLD, not on the bibliographic record. Do not add a g to the call number when the only change you have made is to correct the publication date.

      If you have changed the name of the author in the 100 field to reflect the order of the authors as listed on the t.p. of the book, adjust the final cutter of the call number to match the new main entry. In this case, add the work letter g to the call number (and correct the date, as well, if necessary).

    4. Statistics

      Count as copy on the Processing Production form.
