DELETION OR SUPPRESSION OF STATUS "A" RECORDS

Record Maintenance Procedures

BACKGROUND

Use this procedure to determine whether to delete or suppress unwanted CLIO records. Follow this procedure if there is no more than one active copy statement. (in most instances, this procedure will be used for records erroneously downloaded from OCLC or RLIN) If there is more than one active copy statement, send the deletion/suppression to Database Maintenance.

Caution A record with an OPR must never be deleted but must be supressed instead. If an item record is present, or the record is for a rerouted book, consult a supervisor.

Procedure

  1. OPR is not present
    1. Display the bibliographic record:
    2. Change the second character of the fixed STAT field to upper case D
    3. Enter with the DONE prompt.

    Note: No changes are needed on the CHLD screen. Status "a" records are not uploaded to RLIN and OCLC and will be deleted only from CLIO.

  2. OPR Present

    1. OPR Activity Status code D, X, V, Z (closed OPR)

      1. Do not change cataloging status "a"
      2. Overtype existing date in the DATE field with "today" and erase end of field
      3. Input TLNF note "Suppressed//your initials
      4. Input a reference to the record that is used for cataloging or make printouts of both records for MAS
      5. Enter with the DONE prompt
      6. Display BIBL
      7. Input S in D/S field
      8. Enter with the DONE prompt

        Go to Example

    2. OPR Activity Status Code is A, B, C (open OPR)

      1. Do not modify this record. It will be dealt with once the OPR is completed.
      2. Make the reference to the record used for cataloging as in II.A.4 above.
