CLIO STANDARD MONOGRAPHIC COPY FOR TITLES BEING CATALOGED FOR THE FIRST TIME

Pre-cataloging Procedures

  1. Background

    Consider a monographic bibliographic record exported from OCLC or RLIN into CLIO to be standard copy for cataloging purposes if it falls into one of the groups listed below. Any record that does not meet these criteria is considered non-standard copy. Treat any status "h" record with a location and call number in holdings as standard, unless the bibliographic record contains a 965 field with "tempanalytic," in which case it is non-standard.

    If a record meets the standard criteria listed below but lacks a usable call number in an 050, 090 or 950 it is still considered standard. In these cases a call number will need to be assigned.

  2. CLIO View

    Records in LTCU are considered standard copy if they meet one of the following sets of criteria:

    1. PCC records

      • 042=pcc
        If medical subject headings (MeSH) are the only subject headings on the record, consult a supervisor.

    2. LC Copy

      • 040 includes DLC and
      • 010 is present and
      • 050 is present and
      • E/L =, 1, 4, or 8

    3. LC Minimal Level Cataloging copy for belles lettres materials
      • Item in hand is fiction, drama or poetry
      • 040 includes DLC and
      • 010 is present and
      • E/L=7

    4. Transcribed LC Copy

      • 040 has no ¹ a or has ¹ a DLC ¹ c XXX and
      • 010 is present and
      • 050 is present and
      • E/L = or 1

    5. OCLC member copy (035 begins with OCoLC)

      • E/L = , 1, 5, 8 or u and
      • Fixed fields for DT/1 and 2, PLACE and LANG are complete and
      • 040 does not include NLM (see section G below for the definition of standard records that include this symbol) and
      • There is no 040 subfield b* and
      • If the work is non-fiction, at least one 6XX is present, with second indicator 0

      *Note on 040 subfield b: If a bibliographic record contains an 040 subfield b BUT if there is also a subfield d (modifying agency), accept the record as standard. Delete the subfield b and language code.

    6. RLIN "put" copy (035 begins with CStRLIN and record lacks a 998 or 965 field)
      • E/L = , 1 or 8 and
      • 040 does not include NLM (see section G below for the definition of standard records that include this symbol) and
      • There is no 040 subfield b* and
      • If the work is non-fiction, at least one 6XX is present, with 2nd indicator 0

      *Note on 040 subfield b: If a bibliographic record contains an 040 subfield b BUT if there is also a subfield d (modifying agency), accept the record as standard. Delete the subfield b and language code.

    7. RLIN tape-load copy (035 begins with CStRLIN and record has a 998 field and/or it has 965 DIOGENES)
      • E/L = , 1 or 8 and
      • 998 |s is 911X, 912X, 962X, or 966X (except 9668) and
      • If the work is non-fiction, at least one 6XX is present, with 2nd indicator 0

    8. Copy from any source that includes NLM in the 040
      • The last subfield present in the 040 is not NLM

    9. LTLB
      • E/L = , 1, 4 or 8
