PROCESSING NEW MATERIAL FOR OFFSITE

Record Creation Procedures

  1. BACKGROUND:

    NOTE: Please check the Exclusion List before processing any new material for Offsite.

    For firm orders, selectors indicate that a book is wanted for Offsite by checking Offsite on the order form in addition to assigning the owning location, e.g., GLX, LEH, etc. Acquisitions staff will create the CLIO order record with location and input Offsite in the OPR as they do for Reserves material. When the book is received, Acquisitions will check the Offsite box on the T2 rider.

    If the book is an approval or a CDA or is routed to cataloging departments directly from Area Studies (ASX), selectors will write the permanent location into the "LOC" line and also check Offsite on the T2 rider.

    In all cases, Acquisitions (MAS, SAS, G&E, CDA, ASX) will insert the orange Offsite rider.

    Offsite barcodes are different from the other CUL barcodes in that they read "Columbia Libraries Offsite" and the barcode number is preceded by the letters CU. They come either on long sheets or on a roll. The barcodes on long sheets are affixed to the front cover of hard bound volumes. The barcodes on rolls are always placed on the inside back cover of the paperbacks. In this document the barcodes on rolls are called "double-backed Offsite barcodes" as opposed to the "Offsite barcodes" on long sheets.

  2. SEARCH FOR COPY AS USUAL

    CAUTION: Be sure to check the book(s) out to a pseudopatron as soon as possible after cataloging and no later than before the end of the work day. Failure to do this will result in an OPAC message indicating that the item is already at Offsite. Readers may erroneously submit requests for Offsite requiring unnecessary searching for the book.

    1. NON-STANDARD COPY OR NO COPY IS FOUND

      1. Process for Precat if possible.

      2. Input the permanent location preceeded by off,

        Example: 1T CN |a off,glx |b ARP0243

        Then Go to Precat Procedures

        Mark the verso of the title page as usual with the temporary location GLX,PRE followed by CLIO ID number in upper case letters. Do not include OFFSITE in the Precat call number.

        In addition to the usual Precat procedures, place a double-backed Offsite barcode on the inside of the back cover one inch from the top and one inch from the right edge.

      3. If item is not appropriate for Precat, track & route to OSMC

    2. STANDARD COPY IS FOUND

      1. Determine whether piece in hand is appropriate for Offsite using the Exclusion List

      2. If item is a type on the exclusion list, process for the permanent location on the T2 or for Precat. If not appropriate for Precat, track and route to OSMC.

      3. If item is appropriate for Offsite, input the permanent location preceeded by off, in CHLD

        Example:
        1L CN |a off,bus |b HD20 |c.C34 1990g

      4. ITEM RECORD-- Create and checkout item record immediately after off,<location> is input.

        • If the item is hardbound, place the Offsite barcode in the upper left-hand corner of the cover to the right of the spine 1/4 inch from top and 1/4 inch from spine, as the book stands on the shelf

        • If item is paperback, affix a double-backed Offsite barcode to inside of back cover (one inch from the top and one inch from the right edge).

        • Follow special procedures for Columbia doctoral dissertations.

      5. PHYSICAL PROCESSING

        1. Mark the verso of the title page with Offsite above the call number. Do not include the permanent location, e.g., BUTLSTAX. Mark DIC copies of Columbia doctoral dissertations according to procedures.

        2. Discard all book jackets.

        3. Keep the orange Offsite rider when routing the book to BSP, discard the orange rider if the book is cataloged for Precat.

      6. STATISTICS--Count for permanent location only.
