MULTIPLE COPIES OF SETS IN A SINGLE LOCATION


BACKGROUND

The following instructions apply when cataloging or adding copies of multivolume monographic sets or non-periodical serials for an existing location.

When a new standing order is placed for a multivolume set or serial, the OPR is attached to an existing copy statement if the standing order is to continue volumes already received (e.g. if we have v.1-2 and order begins with v.3). Otherwise, a new copy statement is created and the OPR is attached to it.

When replacements are ordered for individual volumes for a location that already has the set/serial:

When individual volumes are ordered for an existing location that are not replacements: When a multivolume set is part of a series standing order, the order may be on the series and the order linked to the multivolume set by a payment reference

PROCEDURES

  1. Cataloging complete sets--When cataloging a complete set (all volumes in hand) always create a new copy statement.

  2. Cataloging incomplete sets

    1. When cataloging an incomplete set for a new location, use the copy statement to which the OPR is attached; if there is no OPR, create a new copy statement.

    2. When cataloging an incomplete set for an existing location, see instructions for adding volumes below.

  3. Adding volumes

    1. When adding volumes to a set received on standing order, add to the copy statement to which the order is attached.

    2. When adding volumes received as replacements, firm orders or gifts, add to the first copy in the same location that does not already hold the volume(s) in hand.

      If all copies already hold the volume in hand, add to the first copy for the location as follows:

      1. Multivolume work is not analyzed or is partially analyzed

        1. Add 866 |z SOME VOLUMES HAVE MORE THAN ONE COPY, if not already present.
        2. Assign copy number in midspine of the item record, based on the number of copies present in the item summary for the volume being added.
        3. Link item record to the multivolume work.

      2. Multivolume work is analyzed

        1. Do not add 866 |z SOME VOLUMES HAVE MORE THAN ONE COPY
        2. Link the item record to the monographic record for the analytic.
