MIXED MEDIA PROCESSING: MONOGRAPHS

Special Materials & Procedures

BACKGROUND

These instructions describe procedures that are unique to mixed media monographs (e.g. books accompanied by a non-book format item, such as a cassette, a sound disc, a computer disk but not microfiche or maps). These instructions also apply to non-book format material accompanied by printed material such as guides. All other instructions regarding bibliographic and holdings records are in effect and they are not repeated here.

  1. Processing mixed media in CLIO

    1. Process or create the bibliographic record for the main work according to standard procedures.

    2. Note the format of the main work, using either the FMT fixed field code or by the presence of a GMD (general material designator) in 245 subfield h.

      Note: Original catalogers should create or add 006 & 007 fields. Copy catalogers should accept those appearing on cataloging copy but should not supply them. Go to 006/007 table.

    3. Code copy holdings as 3L or 3T in all cases even if the main work is a single volume monograph.

      Note: If appropriate, code the appropriate Material Type Designation of the main work in the call number.

    4. For single volume monographs only, add the CLNF notation code mix which will automatically create an OPAC message about circulation status.

    5. If the item is part of a multi-volume set, enter into the MARC holdings record summary holdings for items represented in field 300 |a. Enter accompanying material 866 |z

    6. If the item lacks either the main work or some of the accompanying material, input an 866 field describing what is lacking.

    7. Create an ITEM record for each piece in hand.

      1. Single volume monographs

        1. Code ENUM/CHRON for the main work using the term (abbreviate if necessary) found in 300 |a.

          Examples:

          book
          videocasette

        2. Code ENUM/CHRON for the accompanying material using appropriate term. Use conventional terminology, e.g., use CD-ROM in place of computer optical disc following the examples below. In case of doubt consult a supervisor.

          Notice the spelling of computer disks and computer optical discs. LC has decided that magnetic disks use "k" and optical ones use "c".

          Examples:

          diskette (for floppy disk)
          CD-ROM
          guide
          sound cassette (for tape)
          videocassette (for VHS)
          CD (for music CD)
          DVD

        3. If the acompanying material consists of more than one item of the same type, barcode and create an item record for each. In the ENUM/CHRON field, assign a number to item and add the number after the descriptive term.

          Examples:

          CD-ROM:1
          CD-ROM:2

        4. If the volume contains two or more different types of non-book item, barcode and create an item record for each, and add the appropriate term in ENUM/CHRON.

      2. Multi-volume sets

        1. Create item records for the volumes in the main work and enter appropriate term and v.# into the ENUM/CHRON of the item record for each volume, e.g.:

          Examples:

          v.1:book
          v.2:book

        2. Within each volume, create an item record for each volume of accompanying material and enter v.#:[term for item] into ENUM/CHRON.

          Examples:

          0001 v.1:videocassette
          0002 v.1:workbook
          0003 v.2:videocassette
          0004 v.2:workbook
          
  2. Statistics

    1. Count the main work as one title on the appropriate "Processing Production" sheet, e.g., paper, video, etc.

    2. Count the main work and the accompanying material on a separate "Change in Size of Collections" report sheets for the appropriate media.

  3. Routing

    1. Do not permanently affix the barcode to the non-book item. Insert the barcode, still affixed to its paper backing, into the non-book item's casing if it is already opened, or scotch-tape the barcode to the casing if it is not yet opened.
      Note: Do not open sealed casing containing the non-book item.

    2. Insert the mixed media rider into the main work.

    3. If accompanying material is not secure within the main work, place items in a mailing envelope or secure with binding string.

    4. AVERY, FINE ARTS, WARE

      1. Charge all items to IN TRANSIT.
      2. Do not send the items to BSP. Instead, send them in an envelope, to the department via interoffice mail.

    5. MUSIC

      1. Route items to Music Cataloger in OSMC
      2. OSMC will route non-book material directly to Music (charged to IN-TRANSIT) and send the book(s) to BSP for labelling.
      3. Music records receive a um= citing the type and location of the non-book material.
        Example: |a um=Ask at Circulation Desk for accompanying CDs.
      4. Music non-book material is not labelled.

    6. ALL OTHER LOCATIONS

      Note: All charging instructions apply to both printed material and non-book format.

      1. If no rush or reserve rider present, insert a red rider.
      2. Charge reserve items for any location to the Labelling pseudopatron.
      3. Charge both hard and paperback SCIENCE items (BIO,CHE,ENG,GLG,GSC,MAT,PHY,PSY,SCI) to the Labelling pseudopatron.
      4. For all other items, charge hard cover items to Labelling and charge soft cover items to Binding.
      5. Route items for all locations to BSP.
