Copy Editing Guidelines for Videorecordings


Background

Follow these procedures when processing a video with standard copy that matches the item in hand. The procedures described in this document cover only those portions of the bibliographic record that are unique to videos. It is therefore necessary to use this document in conjunction with CPM-470, Copy Editing Guidelines (not yet online).

Note: Fields not discussed in this document or CPM-470 should be accepted as found in standard copy and not added if lacking.

Procedure

  1. Fixed fields

    With the exception of the fields listed below, accept fixed field values as found in the record.

    1. PLACE

      Adjust to the match the location of the production company given in the 245 $c. Lacking that information, adjust to match the location given in the 260 $a.

    2. LANG

      Adjust to match principal language of the video.

    3. D/CODE, DT/1 and DT/2

      If the video is an original work, code D/CODE "s" and DT/1 with the date from the 260 $c. If the video is a new edition of an older work, it is treated as a new or original work in terms of dates. To be a new edition it must have some change in content (material added or removed) or a change in language (closed-captioning or descriptive video added, sound track in Spanish added, etc.) or be colorized, or otherwise changed. Generally DVD's with added features will have D/CODE "s."

      If the only change is to copy a motion picture onto a video with no change in content from the original film, code D/CODE "p" and adjust DT/1 to match the date in the 260 $c and DT/2 to match the date of original production. This is most often the case with videocassettes, but rarely with DVD's.

    4. TIME

      Adjust to match the length of the video in minutes, as given in the 300 $a.

  2. Variable fields

    1. 007

      The 007 field, displayed under the fixed field in CLIO, contains information about the physical description of the video. Check for the presence of an 007 field and add it if missing. To add an 007 field in CLIO, place the cursor under the last field at the bottom of the screen (from the home position press the tab key while holding down the shift key to position the cursor). Then type 007v and press enter.

      Check all codes in the 007 and correct or add as necessary. Go to codes for the 007 field for videos.

    2. 040

      If changes have been made to the record add $dNNC to the 040.

    3. 245

      The 245 field for all videos includes a subfield h with the word "videorecording" in brackets (this is what is known as a GMD, or general material designation). The subfield h always immediately follows the subfield a and comes before the punctuation (e.g. equals sign, colon, slash, etc.) that precedes the next subfield.

      Check for the presence of the subfield h and add it if lacking.

      Add brackets around the word videorecording if they are lacking.

      If the subfield h appears in a different place in the 245 (it used to come later in the string) move it so that it immediately follows the subfield a.

      Example:

    4. 4XX

      If there is a traced series statement in the record (440 or 830) search for an authority record in CLIO or the NAF in OCLC and if necessary adjust the copy to match the authorized form of the series found in ithe 130 of the authority record. If there is no authority record, accept the form of the series as found in the cataloging copy.

      If the record lacks a series statement but the container or label has a series statement, add the series to the cataloging copy (using 490/830 or 440, as appropriate). For the series added entry, use the authorized form found in the 130 field of the authority record. If there is no authority record for a series that must be added to copy, route the record to your supervisor, who will establish the series.

    5. 538 System details note

      Check for the presence of this note and add it if lacking. When adding, use the terms "VHS," "DVD" or "Laser disc." Do not adjust the wording of an existing note, which may contain some variation in terms and some additional information. If this information is present in a 500 note, change the note into a 538 so that it is keyword searchable in CLIO.

    6. 650

      For fiction films, check for the presence of a 650 with either "Feature films" (for videos 40 minutes long or longer) or "Short films" (less than 40 minutes long) and if lacking add the appropriate heading.

      For foreign language films, check for the presence of 650's for "Foreign films" and for the specific country of production (e.g. "Motion pictures, Mexican") and if lacking add them.

    7. 7XX

      Check for the presence of added entries for the producer (which may be a person or a corporate entity), director, screenwriter and prominent cast members. If lacking, add them, using the form of the heading found in the NAF.

    8. 990

      For videos being cataloged for location mvr add a 990 field with "mvr" (without quotes).
