ADDING VOLUMES TO FULLY CATALOGED OFFSITE SETS & SERIALS

Bibliographic Record Procedures

  1. BACKGROUND

    Occasionally a volume may be received for adding and CLIO shows that some part or all of a multivolume set or serial has been processed for Offsite. If the volume fits into an Offsite run, follow the instructions below. If a volume fits into the run of a non-Offsite location, add as usual.

    Note: If a volume needs to be added that has "no call number assigned" in the call number field, consult a supervisor.

    If the information on the T2 shows the book in hand to be an unwanted duplicate, it should be routed to MAS or G&E following standard procedures.

    If the volume is the latest volume of a serial consult a supervisor as it may be needed onsite.

    If the volume is brittle or fragile, follow standard procedures for brittle materials.

  2. PROCEDURES

    1. Volume in hand is for pren or xxx,anx or xxx,anx2--Route to MRP.

    2. Volume in hand is for off,xxx

      1. Add volume as usual.

      2. Barcoding

        • If the item is hardbound, place the Offsite barcode in the upper left-hand corner of the cover to the right of the spine 1/4 inch from the top and 1/4 inch from the spine, as the book stands on the shelf.

        • If item is paperback, affix a double-backed Offsite barcode to inside of back cover. (one inch from the top and right edge)

        • If the volume is for Avery/Fine Arts give the volume to the Avery Team as the volume requires a special barcode.

        • Give volumes of scores to Russell Merritt.

      3. Physical Processing

        • Mark the verso of the title page with Offsite above the call number. Do not include the permanent location, e.g., BUTLSTAX.

        • Add orange rider if not already present.

        • Discard all book jackets.

        • Check out to BIND or LABL pseudopatron immediately aftr updating holdings and creating the item record.

        • Route all volumes/issues through BSP. All serials and periodical issues added to Offsite will receive monographic binding treatment.

      4. Statistics--Count for permanent location only.
