THIS PRACTICE IS OBSOLETE AS OF 2014
The following is an interim procedure to route web resources to the
web curators for review and archiving and for them to update the record
after archiving is completed. These procedures may change once we
have more experience in web archiving.
- The cataloger will check the 852 field for a free text field
indicating that the selector wants the resource to be archived. Do not
delete the note. The selector will have indicated whether the resource is
for a thematic or a general collection.
- The cataloger will catalog the live site and add a 965 field with
the text 965archive
- The curator will search the code as a keyword and will review the
site for archiving and crawl the site if appropriate.
- If the site is appropriate for archiving, the curator will change
the 965 field to 965archivec with the letter c indicating that the
decision to archive is complete and positive. If the resource is not
suitable for archiving for technical or other reasons, the 965 code will
be changed to 965archivex with the letter x indicating that the
site was rejected for archiving. Applying these codes at point of evaluation
will allow quicker searching for new submissions, which will have the
code 965archive
- Once permissions have been obtained and the site is crawled, the
curator will edit the CLIO record by adding and resolving a link to the
archived version of the resource. Each link will be identified with a
public note, i.e., $z Archived site and $z Live site
- The curator will delete the selector note in 852 and leave only
one $x field with the selector's initials.
- The curator will add a 965 code for the thematic collection if
appropriate, e.g., 965hrarchivec
Note: the curators are investigating including websites in the
digital registry. Until that time, only monographs and serials will be coded for
the registry.
- The curator will code appropriate MARC 21 fields to record DLF
digital registry information. These records will be extracted and sent to
OCLC as special files.
- If the resource is selected for archiving retrospectively, the 965
codes will be added by the curator for tracking purposes.
- If the resource is better suited to be cataloged as a finding aid
or the archived version is significantly different from the cataloged live
site, the curator and the cataloger will consult and edit the cataloging
record as appropriate.
