POLICIES FOR IRCR RECORDS: TRAINING DOCUMENT

The following document can be used in training staff to create IRCR records.

	
IRCR cataloging is a process used to add free online resources (serials, websites, databases, and ebooks) to Clio.
In OSMC cataloging the three basic categories for the free online resources are: ejournals, eresources, ebooks. 

IRCR forms

1.	Selectors fill out the IRCR (Internet Resource Cataloging Request (IRCR) form for online resources they want cataloged in CLIO.
        These requests are aggregated into daily files by title.
2.	Files that contain 1+ titles are sent to catalogers via email each day. Catalogers save the files to the Voyager import file.

IRCR cataloging basics

1.	To access a file, the cataloger opens the Voyager import file, clicks to open a file. One to several IRCR titles will display.
2.	Clicking on one will open it into Voyager cataloging module.
3.	If the file does not open and Voyager displays the following message:
       "Voyager Cataloging: The record character encoding does not match the import format: record skipped"
	Use ctrl + ALT + Shift + D to change to and from Unicode format.
4.	Once a record displays, the cataloger searches the title in CLIO for duplicates or for vendor records. 
5.	If there is no title in CLIO, OCLC is searched for copy.
6.	If there is OCLC copy for the online version, catalogers enhance the record if necessary and export it to Voyager.
7.	If there is OCLC copy for the print version, catalogers derive a record from it and create a new record and export it to Voyager.
8.	If there is no OCLC copy (for online or print) catalogers create a new record and export it to Voyager.
9.	Access the Voyager import file. Click the title to open it in Voyager. Tile the IRCR record and imported OCLC record. 
10.	Copy and paste the OCLC 035 field into the IRCR record.
11.	Save the OCLC record to overlay the IRCR record.
12.	Adjust any field information.
	a.	Delete any selector notes from the 852 field. Retain selector UNI.
	b.	Delete the 653 field terms unless they are not included in the 650 fields.
	c.	Delete unneeded 856 fields.
	d.	Add the letter "c" to the end of the "ircr" code in the 965 field
13.	Complete the holdings 852 field (see below)


IRCR holdings record

Macros are used to automatically code the Leader and the 852 field for the three types of eresources:
EBOOKS macro
;;eb = $b lweb $h EBOOKS and 008 field positions. Receipt Status and Completeness are automatically coded
EJOURNALS macro
;;ej  = $b lweb $h EJOURNALS and currently 008 field positions. Receipt Status and Completeness are not automatically coded*
ERESOURCES macro
;;er  = $b lweb $h ERESOURCES and currently 008 field positions. Receipt Status and Completeness are not automatically coded*
*For these two resources: Receipt Status = 4 and Completeness = 2. 

Record types use and edits

OCLC: original records
Catalogers work in OCLC except when using Hathi Trust or Google records as copy.
Catalog as usual.  
Required fields (beyond the usual core fields such as creators, titles, LCSH, etc.):
4.	043 
5.	050 $a
9.	856 field(s In some cases there will be two 856s: one for the current site and a second for the archived site.

OCLC copy types

Standard copy:  record created by another library
1.	Accept the ELvl. 
2.	Edit for errors and add any required fields.

DLC copy

Usually these records are very brief and lack subject headings
1.	Upgrade the record as usual.

Hathi Trust and/or Google records

1.	Check to make sure the record matches the IRCR title.
2.	Click to Update holdings and export to Voyager.
3.	Import the OCLC record into Voyager.
4.	Merge with the Voyager IRCR record.
5.	Leave the 035 as is.
6.	Edit to remove any fields that pertain only to Hathi Trust and/or Google.
7.	Save to Voyager and complete the holdings record.

Provider Neutral reocords

1.	Go over the record.
2.	Edit to add or correct data.
3.	In Voyager, delete unwanted URLs.

OCLC copy for the print version; can use other formats such as microforms

1.	In OCLC, derive a new record from the copy for the print version.
2.	Catalog as a new record as usual.
3.	Addition of the 776 field using the insert from cited record macro is strongly encouraged.
