SPECIAL PROCEDURES FOR DATABASES
Note: Use of the RTI form was discontinued in 2013.
BACKGROUND: The Databases (previously Reference
Works & Indexes) are represented Blacklight CLIO through their MARC
cataloging record. A few special procedures must be followed so that the
resource is fully represented as a database and so that features important
to the selector are included.
After cataloging, RTI records are reviewed by the selector. If necessary,
the selector will suggest changes to the bibliographic record. 9XX fields
control local aspects of the Databases display and are added by the NER
librarian. Standard MARC fields, eg., summary, keywords, and restrictions
are added by the cataloger.
GUIDELINES:
- The resource should be cataloged at full level. Copy should be
upgraded if necessary. The resource should be thoroughly viewed and copy
adjusted to represent the the current iteration and current rules for
description and access.
- All RTI titles should have a class number in 050.
- If you know the resource is restricted to Columbia users or the
cataloging copy has a 506 field, change or input a local restriction note
using the following text:

This resource is available only to current faculty, staff and students of
Columbia University. $5 NNC (use ctrl + shift + L macro)
- Code a 520 summary as written by the selector. If a summary is not
available, construct as complete a summary as possible making sure that
the summary is rich in key words. Since only the beginning of the summary
will be displayed on the initial results page, make sure that the first
sentence(s) are meaningful.
- Code index terms that are not derived from a controlled thesaurus or
subject heading system in 653 with blank as first and second indicator
values. Keywords may also be supplied by the selector.
