COMPLETING MARC RECORDS FROM delicious.com

BACKGROUND

Columbia University Libraries participated in a Mellon-funded project on integrating the collection of free Web resources related to human rights into the regular workflow. Delicious was used as a selection tool and descriptive metadata accumulated in the process via tagging, and we decided to leverage this effort toward the goal of developing a streamlined way to create acceptable metadata outside Voyager and bring it into our catalog with a net saving of time.

So the working group created a delicious-to-MARC mapping table and in February 2009 the first load of 575 records were loaded into Voyager with a default encoding level of 3. Most of the data is already usable but some fields will require review by a cataloger and some records may require NACO and SACO work. There is no need to upgrade the records to a specific higher encoding level. Searching OCLC is optional and may be worthwhile for very well known human rights organizations that are likely to have a fuller record. If a fuller record for an organization's website is found in OCLC, that record can be imported into Voyager and overlaid upon the existing project-generated record.

The records were searched before loading into Voyager, so in general there should be no duplication and no need to check the catalog for pre-existing records. There is, however, one exception: If you discover that the organization's name has changed recently it is very likely that the title of the home page has changed with it. Do a title search under the previous name/title. If there is an existing record, report the new record for deletion and update the pre-existing one. Retrieving records

To find the migrated records that still need completing, do a Voyager keyword search for "965hrarchive". To see completed records from this project, search for "965hrarchivec" ("c". added at the end for "completed"). For narrowing your search to a specific area, e.g. for a specific language specialty, you can add an additional term to the search: E.g. "965hrarchive AND Russia".

Bibliographic record: Commonly required edits

URL confirmation

Before making any edits, access the website being cataloged; the macro for this is "control-K". If the url doesn't work, refer the record to Alex T. or Melanie and move on to another record

Language (008 & 546)

If the default 008 language code used for the mapping (eng=English) is inaccurate, use the main language shown on the organizational home page from the 920 url as the code for the 008 language fixed field. Cite that language in the 546 (i.e., "German"). If the site has navigation links to additional versions translated into additional languages, mention those languages in the 546 as well (i.e., "Text in German, English and French".)

050 classification

All records contain the classification number for general human rights, which should cover a large number of resources. Some sites, however, cover much narrower topics and the class number might need to be adjusted accordingly.

110/610 headings

All organizational names were searched in NAF prior to the migration into Voyager, and so if NAF headings were available in 2008, they are in the records already. If the 110/610 name form in a record differs from the form used in the 245 field, then it is an authorized heading. If the 110/610 form is the same as the 245 form, then it may or may not be authorized and should be searched in the NAF for confirmation.

Creating NACO records for organizations lacking authorized forms is highly desirable. There may be instances, as in regular cataloging, when setting up the NACO heading would require too much research or language skills that are unavailable. In those cases NACO work is not required.

245 titles

All records have a mapped title field based on the most prominent form of the organizational name found on the site; these titles can be accepted as they are or modified to match the actual website title more precisely.

246 variant titles

The records don't have any title variant data. There is no need to go hunting for variant titles, but there may be instances of very prominent titles or parallel titles that are important for search and retrieval and should be added to the record as a 246 using indicators 13 ("other").

500 viewed-on note

Replace empty parentheses in 500 notes with date viewed, i.e. "Viewed March 10, 2009".

520 note

The summary notes may have been cut off prematurely by delicious. If needed, replace the existing note with more complete information, using either direct quotes in quotation marks or your own paraphrases or translations.

650 headings

All records were mapped with at least two LCSH 650 headings; additional LCSH 650 headings are not required, but may be added as appropriate. Create SACO records for prominent subjects not in LCSH.

651 headings

Many MARC records have 651 fields but future record loads will likely change this mapping. Remove the 651s and transfer their heading info to geographical subdivisions ($z) added to the existing 650 headings.

655 headings

All records have one 655 heading, "Web sites". Leave as is and do not add others.

856/920 urls

The mapping automatically resolved the urls, so no further work with the url fields is required. As noted above, if the url is broken, refer the record back to Alex T. or Melanie.

965 local notes

Add "c" (for "completed") at the end of "965hrarchive".

948 statistics

Use statistics macro for "original/non PCC". If you overlaid the record with an OCLC record, use the macro for "copy cataloging" instead.

System tab

Unsuppress the bibliographic record and save to database.

Holdings records

The data in the leader, 008 and the 852 fields was automatically mapped; do not change. Select the system tab and unsuppress the holdings record and save to database.
