EBOOKS: Processing Reproductions with Variant Edition Cataloging (AACR2)

BACKGROUND

Follow these guidelines for electronic reproductions of previously existing books accessed through the World Wide Web, whether the reproductions were created at Columbia or elsewhere. These procedures are to be followed when using the record for the paper original as the source record for variant edition cataloging of the reproduction. The mnemonics used are those for cataloging in OCLC, but these procedures may also be used when cataloging in CLIO.

PROCEDURES

Derive a new record, also in the books format, from the record for the original. Electronic copies of books are cataloged on a book format record, not a computer format record. After deriving the new record from the book record in either OCLC or CLIO, make the following edits to the record:

  1. Fixed Fields

    Accept all fixed field values appearing in the original record, with the following exceptions:

    1. Form (REPRO in CLIO)

      Code o for electronic item.

    2. Srce

      Code d for not LC, not PCC source of cataloging.

  2. Variable fields

    1. 006 field

      Add an 006 field for the electronic aspects of the item. The 006 field, which includes codes for characteristics that are "additional" to the book format codes represented in the fixed field, causes a search limited by computer format to retrieve this record. Note that ebooks have file type d for document.

    2. 007 field

      Add an 007 field to the record and code for the physical characteristics of the electronic resource.

    3. 010

      If the record for the original included a Library of Congress Control Number in an 010 field, do not include an 010 in the record for the reproduction. Instead, enter the LCCN in a 776 field.

    4. 019

      Delete any 019 fields.

    5. 035

      Delete any 035 fields.

    6. 040

      If cataloging in CLIO, change the 040 if necessary to have NNC in $a and $c. If cataloging in OCLC, ZCU in the 040 will be system supplied.

    7. 042

      Delete an 042 with anything other than code pcc. If code pcc appears in the 042 field, retain in the record as long as no headings are being added or changed. Report to Susan Summer in OSMC that a new pcc record has been created.

    8. 049

      Delete any 049 field.

    9. 050

      Every record for an ebook must have a Library of Congress class number (the subfield a portion of a call number) in an 050 field. The class number in 050 field in the bibliographic record is used to assign each ebook to the appropriate subject category on Library Web. If the original record had an 050 or 090 field, retain the complete call number and code the field as an 050 with first indicator blank and second indicator 4. If the original record lacked a call number, assign a class number and add an 050 field with only subfield a to the record.

    10. 082

      Delete any 082 field.

    11. 245

      Add a subfield h with the gmd [electronic resource] immediately following the subfield a.

      Add a 533 field to the record with information about the reproduction, including notes for mode of access and system requirements. Please note that if the agency responsible for production is not named on the reproduction, that information must appear in brackets.

      Example:

      533: :Electronic reproduction. $b [New York, N.Y. : $c Columbia University Libraries, $d 2001] $n Mode of access: World Wide Web. $n System requirements: Adobe Acrobat reader. Display problems may occur with versions of Adobe Acrobat earlier than 5.0.

    13. 655

      Add a 655 field to the record with the genre term Electronic books.

      Example:

      655 _7 Electronic books. $2 lcsh

    14. 776

      If the LCCN for the original is available, provide it in a 776 field.

      Example:

      776 0_  $c Original $w (DLC)   28-29678
      

    15. 856

      Add an 856 to the record with the URL for the electronic reproduction, using indicators 40. Resolve the URL.
