Adding Microfilms to Early English Books, 1641-1700


BACKGROUND

Early English Books, 1641-1700 is a very large set of titles published on microfilm by UMI. There are a number of titles on each reel of film. The set is published in units of 15-20 films at a time and each unit is accompanied by a printed guide listing the contents of the reels. The CLIO record for the set is on bibliographic record 232943 (NOTIS ID ABA5514) and the call number for the set is FW.

OCLC has made available records for the more than 40,000 individual titles included in units 1-64 and Columbia has purchased those records and loaded them into CLIO. Since there are so many records with the same added entry, the best way to access the set record is by the CLIO ID (the Call Number Other Classification search will also work).

Although there are so many analytic records already in CLIO, new reels received are added to the set and the individual titles are not analyzed. (The code "add" appears in the 852 field of MFHD 318511.) The cross indexes and reel guides provide access to the individual titles. Follow these procedures when new units of films are received for cataloging.

    If more than one copy of the printed guide is received (as sometimes happens for mysterious reasons), send one to Butler Reference and the others to MRR. Mark the Reference copy with the call number R015.42 P7612 and add it to the MFHD 540037. Do not barcode it. Send it in an interoffice envelope to Reference.

    If only one copy of the printed guide is received, send it to MRR. Mark the MRR copy (or copies, if more than two were received) with the call number FW on the t.p. verso. Do not barcode it and do not add it to the holdings on 318511. Send them to MRR unbound in an interoffice envelope. MRR staff will collect them and send a number at a time for binding.
