Microforms Cataloging Manual

Filmed withs

BACKGROUND

Follow these procedures when cataloging independent works that have been filmed together onto one microfilm reel. There will be separate bibliographic records for each of the individual works. The procedures listed here are those that are unique to this type of item; all other standard cataloging procedures should followed.

PROCEDURE

  1. Bibliographic records

    1. Create a standard bibliographic record for each title to be cataloged. Include a note giving the position of each title on the reel in a 533 $n.

    2. Copy Holdings Records

      1. Copy status

        1. Code the copy status code that is appropriate for the title (single volume monographs should have copy status 1)

      2. Call number

        1. Assign the same call number to all titles on the reel.

        2. Do not code $vv. at the end of the call number unless the title is part of a multivolume set.

      3. Copy level notes

        1. For the first work on the reel, input notation code mfw in a separate subfield a of the copy level notes field.

        2. For the second and any subsequent works on the reel input notation code mf in a separate subfield a in the copy level notes field. This will cause the following note to display in the OPAC: "For circulation information search first title on reel."

    3. MARC holdings records

      1. Create a MHLD and code E/L 1. For any title on the reel that is a multivolume set, create the MHLD as usual with E/L 4 and volume holdings, but add the additional 866 field described below.

      2. Create an 866 with subfield z to hold the following notes:

        1. First work on the reel (mfw)

Code a filmed with note saying that the item is filmed with other titles.

          Example:

          866:_1:0|zFilmed with other titles.

        2. Subsequent work(s) (mf)

Code a filmed with note citing the author, title and date of the first item.

          Example:

866:_1: 0|zFirst title on reel: Sloane, William Milligan, 1850-1928. The
          Balkans. 1920.

    4. Item record

      1. Link the item record to the first work on the reel.
