Multiple Version Records


BACKGROUND

Beginning in February 2001 monographic microform reproductions will sometimes be cataloged on book records using the multiple version record approach. In these cases the microform copy is added to a new holdings record on the book record, and the information normally found in the 533 field is added as an 843 field in the holdings record. The bibliographic record continues to describe only the paper version.

Please note that multiple version records are not used for any CUL preservation microfilms because of the need to record 007 information (bib records under the multiple version approach would not have 007 fields).

PROCEDURE

If there is already a record for a cataloged (or formerly cataloged) paper copy of a book in CLIO and the microform in hand is a reproduction of that book, do not create a separate record for the microform. (Exception! If the microform was made by Columbia, create a separate record.) Instead, leave the bibliographic record as found and add the microform copy on a new MFHD. Input the information that would have been included in the 533 field of the bib record as an 843 field in the holdings record. Follow all other standard procedures for assigning call numbers and physical handling of microforms. Count the microfilm copy as an added copy on a microform processing production statistics form.
