Processing Microfilms with Unsolicited Titles


BACKGROUND

Often one title will be ordered by a selector (or requested by a patron through ILL) and when the microfilm containing the title is received, it is discovered that the reel includes additional titles. Use the following procedures to determine whether to catalog all the titles on the reel, or just the one title that was ordered.

PROCEDURE

  1. If there are two titles on the reel (i.e. one in addition to the title that was selected) and there is standard copy available (either matching copy or copy for variant edition cataloging) catalog both titles on the reel, following the "filmed with" procedures.

  2. In all other circumstances, choose from one of the following four options, depending on the availability of cataloging copy for the other titles, the importance of those titles, and the time available for cataloging them:

    1. Catalog only the title ordered and link the item record to that record. The only mention of the other titles on the reel will be in the 533 $n note "No. X on a reel of Y titles."

    2. Catalog only the title selected and link the item record to that record. Search the the remaining titles on the reel in CLIO and then provide access to them by making added entries (author/title or title, as appropriate). Use the established form of the author's name and title, if available in the NAF. Otherwise, transcribe the name and title as they appear on the film. Include $f with the date of publication.

      Example:

      700:12: $a Horvath-Peterson, Sandra. $b Victor Duruy & French education. $f 1984.

      If in the course of searching the other titles on the reel it is discovered that we already have (in paper or microfilm) one or more of the unsolicited titles on the reel, treat those titles as if they were selected. In other words, catalog those titles as added copies, in addition to the first title and the title selected, following the procedures in 3 below.

    3. Catalog the title selected and the first title on the reel (if they are different), following the "filmed with" procedures, and linking the item record to the first title on the reel. On the record for the first title on the reel, make added entries as in 2 above for the remaining titles on the reel.

    4. Catalog all the titles on the reel, following the "filmed with" procedures.
