TO: Faculty teaching courses in the Fall
Semester FR: Lois Putnam RE: Library Reserve Lists for the Fall Semester 2004 Date: August 24, 2004 Dear Colleagues: I've updated the "Procedures for Psychology Reserves" web page to include new information from Chang-Mei Dong (Library Assistant, Psychology Library) and Gus Stamatopoulos (Head, Access Services & Materials Processing, Science & Engineering Division). For those of you familiar with the previous page, what's new is the information on reactivating eReserve lists used in your Fall 2003, or later, classes. See the section "Online Request" for details For those of you not familiar with the page, here's what you'll find: Dear Professor, The Psychology Library has provided the following information to assist you in the process of placing items on reserve for your Fall 2004 courses. If you have already submitted your Fall reserve list to the Psychology Library, thank you. A.The Due Date of Reserve Lists: August 31, 2004 [Lois's recommendation]. Please keep in mind that materials for lists submitted closer to the first day of classes may not be ready by the beginning of the term. See Priorities for Processing below. B. Three Methods to Send a List: 1. Online Request. You may submit reserves requests on-line and are encouraged to do so. The on-line reserves request form is available on the website http://www.columbia.edu/cu/lweb/reserves/, or, on LibraryWeb via the Course Reserves option. Click on Faculty login and select the Psychology Library. Please be sure to fill out all of the required fields on the form. If you would like to use a list from a previous semester, please review the list on CourseWorks, and using the faculty request form referred to above, submit a reactivation request. Lists used in Fall 2003 or later may be re-submitted and are available for viewing via your CourseWorks page: https://courseworks.columbia.edu/ (If you wish to reuse or reactivate a list from a semester earlier than Fall 2003 and need a copy, please send e-mail to Chang-Mei Dong at cd22@columbia.edu or call him at 854-4714.) To add an item to a previous list, please use the faculty request form. To remove an item from a previous list, print out the list from CourseWorks, mark the change and send it to us. Links to e-reserves from previous semesters remain active for review through CourseWorks. However, to make these links active for your new students, you must re-submit your reserve list. E-reserves, and correspondingly links to e-reserves on CourseWorks syllabi, must be reactivated each semester to enable student access from semester to semester. This is especially important if you link directly to e-reserves through your CourseWorks syllabi and migrate syllabi across semesters. Though the links will appear in your new syllabus, your students will not be able to access the readings until we reactivate them for your Fall 2004 course.. 2. Fax or E-mail Request. You may fax your request to the attention of Chang-Mei Dong at 854-5660 or e-mail it to him directly at cd22@columbia.edu. In these cases make sure that your list is typed or word processed, with complete bibliographic citations, including edition when it is relevant and Columbia Libraries call numbers when they are available. Each list should include:
3. In-Person Request. You may also simply come to the Psychology Library and fill out a request form by hand. C. Electronic Reserves and Photocopied Materials. The Library accepts photocopies of articles and book chapters to be placed on reserve. We do not photocopy articles for reserve. We will convert to electronic format, whenever possible, all photocopies received. Students may access electronic reserves materials from the course reserves page on LibraryWeb or from your CourseWorks page. Please follow these guidelines:
D.Additional Library Reserve Guideline Limitations. The Library places on reserve only items that are required readings; recommended readings should not be requested for reserve. Reserve lists are limited to 25 items. Books and Out-of-Print Titles. We will place books from the stacks on reserves if we own them. If the Library does not own an out-of-print book, we will try to locate a copy. If we are unable to obtain a copy, then we can accept your personal copies, or a photocopy of part or the entire book, that you submit. The library will return all personal copies to you at the end of the semester. We will notify you when your list includes an item that is proving difficult to obtain. Priorities for Processing. We process lists in the order they are received. Early submission will help assure that reserve materials are available to your students. It may take three to six weeks to recall books in circulation for reserves or to receive titles that we have to order. Course Packs. Many faculty members find that course packs (i.e., a selection of readings compiled for the course, photocopied, and sold to students at cost) are an effective way to make required readings available to students. The libraries will accept copies of your course pack to place on reserve when appropriate guidelines have been followed. Items included in course packs should not be submitted as individual articles for the same course. Course packs and materials that have been included in a course pack will not be scanned for electronic reserves. If you have questions concerning the course reserves process, please contact Chang-Mei Dong in the Psychology Library at 854-4714 or via e-mail at psychology_reserves@cul.libraries.columbia.edu
