CHARGING ITEMS TO CONSERVATION

  1. PURPOSE

    Preparing both serial and monographic items for conservation

  2. PROCEDURES

    1. Check the item for the presence of a barcode.

      1. If a barcode is present, search CLIO by the ITEM ID.

        1. If an item record for the item being sent to the conservation lab is found:

          1. Charge the item to CONSERVATION, following CLIO Manual procedures for charging.

          2. When preparing the binding slip, write the barcode number on the binding slip in the section marked "Shelf-processing instructions."

        2. If no item record is found:

          1. Create an unlinked item record for the item following CLIO Manual procedures. Use the barcode present on the item.

          2. Follow the steps in II.A.1.a. above.

      2. If no barcode is present:

        1. Create an unlinked item record for the item following CLIO Manual procedures.

        2. Follow the steps in II.A.1.a. above.

        3. Clip the barcode to the binding slip and send it with the item. (Conservation staff will apply barcode after the processing or repair is completed).

    2. Place the front copies of the binding slip in the item.

    3. Place the back copy of the binding slip in the appropriate manual file if your department maintains a binding file.

    4. Send the item to Materials Processing following standard procedures outlined in the CUL Preservation Handbook.
