CHARGING ITEMS TO INTERLIBRARY LOAN (ILL)

  1. PURPOSE

    Sending items to the Butler Library ILL office for circulation to external borrowers, e.g., OCLC and RLIN libraries

  2. CAUTION

    Do not use these procedures for items owned by the Rare Books library.

  3. PROCEDURES

    1. If the item is charged out to a patron, notify the Butler Library ILL office of this fact and let ILL know the due date. Do not place a recall or a hold on the item for ILL.

    2. If the item is available -- Before sending the item to the Butler Library ILL office, check the item for the presence of a barcode.

      1. If a barcode is present:

        1. Search CLIO by ITEM ID.

        2. Look at the location code in the active item subrecord. Make sure that the location code in the active item subrecord is not a reserves or temporary location code. If necessary, follow CLIO Manual procedures to activate the item subrecord with the permanent location code.

        3. Charge the item to INTERLIBRARY LOAN.

        4. Send the item to the Butler Library ILL office.

      2. If no barcode is present:

        1. Create an unlinked item record for the item following CLIO Manual procedures.

        2. Charge the item to INTERLIBRARY LOAN.

        3. Send the item to the Butler Library ILL office.
