Missing or Brittle Items

MONOGRAPHS -- REPLACING MISSING ITEMS

  1. BACKGROUND

    Items that need replacement are identified through Lost/Missing Lists or through searches for items reported as missing by patrons. Procedures for decisions to replace or not replace items vary from library to library. For the following procedures, it is assumed that the library has completed the appropriate search (i.e., other copies, editions) and has made the decision to replace the item. Missing items which are not replaced should be withdrawn.

  2. PROCEDURES

    Search in print catalogs and other special subject catalogs as suggested by the library selector.

    1. If a replacement is found, submit an order for the replacement.

      1. Check the box called "REGARDLESS who has copy, accept."

        and/or

      2. Check the box called "REPLACE" and type or write the call number of the item being replaced.

      3. Attach a CLIO printout of the item to be replaced to the order, if available.

      4. Bring up the item record in CLIO and either withdraw or charge to a replacement pseudopatron, depending on local procedure.

      5. Route the order to MAS.

    2. If the item is not in print, follow procedures for obtaining a replacement from an out of print vendor or if the decision is to end the replacement search, withdraw the item.
