Missing or Brittle Items

MONOGRAPHS -- REPLACING BRITTLE ITEMS

  1. BACKGROUND

    Most libraries screen brittle books when they pass through the circulation process. The CUL Preservation Handbook decribes how to identify brittle items and also gives a detailed explanation on how to fill out the Brittle Monographs Replacement Worksheet (D115m) mentioned below.

    For the following procedures, it is assumed that the library has completed the appropriate search (i.e., other copies, editions) and has made the decision to replace the book. Any book which is not replaced should be withdrawn and/or follow local procedures. (For follow-up on this procedure, see DCMM-316 or DCMM-324)

  2. PROCEDURES

    Search in print catalogs and other special subject catalogs as suggested by the library selector.

    1. If a replacement is found, submit an order for the replacement.

      1. On the order form, check the box called "REGARDLESS who has a copy, accept."

        and/or

      2. Check the box called "REPLACE" and type or write the call number of the item being replaced.

      3. Attach a CLIO printout of the item to be replaced to the order, if available.

      4. Input a note in the item record: brittle - repl ord. [date]

      5. Route the order to MAS.

    2. If a replacement is not found

      1. Input a note in the item record: brittle - PRD search [date]

      2. Route the D115m to the Preservation Department, 110 Butler to complete the search.

      3. Return the book to the shelf and/or follow local procedures.
