Missing or Brittle Items

MICROFILMING BRITTLE ITEMS

  1. CAUTION

    The following procedures are carried out by GL/B collection maintenance staff only. Consult the Overview document about replacing missing or brittle items before using the procedures below.

  2. PROCEDURES

    Search CLIO for the item to be microfilmed. Search by ITEM ID, if known, or by call number.

    1. If an item record is found

      1. Record the ITEM ID in Section B of the D115, or if a CLIO printout or shelflist photocopy has been attached, record the ITEM ID on the printout or photocopy.

      2. Check-out the item to a microfilm pseudopatron.

      3. Route the D115 and the item to PRD.

    2. If no item record is found

      1. Barcode the brittle item (if not already barcoded).

      2. Determine whether a copy statement exists on a copy holdings record for the item being microfilmed.

        1. If a copy statement exists -- Create a linked item record following CLIO Manual procedures.

        2. If a copy statement does not exist -- Create an unlinked item record following CLIO Manual procedures.

      3. After an item record has been created follow the steps in II.A. above.
