Missing or Brittle Items

MONOGRAPHS -- COMPLETING THE REPLACEMENT CYCLE FOR BRITTLE ITEMS

  1. BACKGROUND

    Once a replacement cycle has been completed, it is the department's responsibility to follow up on any instructions found on the blue "Attention" rider, the canary yellow replacement rider, or binding slip, to check-in items from pseudopatrons and to withdraw replaced items (whether the replacement attempt is successful or not) in the manual catalog and/or CLIO.

  2. PROCEDURES

    1. If the item has been replaced (with the same or a variant edition)

      1. Display the OPR record for the item. The OPR will indicate the book is a replacement and will give the call number of the book being replaced.

      2. Delete the replacement note in the record and determine whether the original book is being retained.

        1. If the original is not being retained, withdraw the item following DCMM withdrawal procedures.

        2. If the original is being retained, reshelve the item and/or follow local procedures.

    2. If the item has been microfilmed or photocopied

      1. The original will not be retained. A microfilmed item will return from PRD with a note "Do Not Retain".

        1. Delete the replacement note in the item record.

        2. Check-in the old item from the PRD microfilm pseudopatron.

        3. Withdraw the item following DCMM withdrawal procedures.

      2. The original will be retained. When the original item is to be retained after filming or photocopying, PRD forwards it to the department (via Preservation or Conservation) with a "filmed" rider with a note to "RETAIN."

        1. Delete the replacement note (original confirmation of a replacement attempt) from the item record.

        2. Check-in the old item from PRD microfilm pseudopatron.

        3. Reshelve the item.

    3. If the item cannot be replaced -- If all replacement options have been exhausted and the brittle item is too damaged to film or photocopy

      1. Check-in the item.

      2. Delete the replacement note (original confirmation of a replacement attempt) from the item record.

        1. If the original is to be retained, reshelve and/or follow local procedures.

        2. If the original is not to be retained, withdraw the item following DCMM withdrawal procedures.
