Catalog Maintenance

LATEST VOLUMES AND CURRENT ISSUES OF SERIALS

  1. PURPOSE

    Indicating when the latest volumes or current issues of serials are shelved in reference, reserves, a periodicals area or another special location

  2. PROCEDURES

    1. Display the copy holdings record.

    2. If only the current volume is retained:

      1. Adjust the sublocation code, e.g., eng,ref in the copy statement if necessary.

      2. Input the code lvo or cio in the copy level notes field to alert SPS and SAS that only the current volume is retained.

      3. Determine what item records exist for the serial:

        1. If there are item records attached to the copy statement -- View them using the summary screen. Example: summ - 1

        2. If there is no item record for the current volume -- Route to SAS for adding.

        3. If item records exist for earlier volumes -- Withdraw them following CLIO Manual procedures for withdrawing item records, and count on withdrawal statistics.

      4. Determine whether the volume holdings record is correct. If incorrect, follow the DCMM procedures for correcting volume holdings information.

    3. If earlier volumes are shelved in stack areas -- Tab to the copy level notes field of the appropriate copy statement and input one of the following notation codes, as appropriate. Follow CLIO Manual procedures for inputting notation codes; input the code so that it will be one of the first four codes in the copy level notes field.

      1. If the latest volume/current issues is/are shelved in reference, input: lv:ref or ci:ref

      2. If the current issues are shelved in a periodicals area, input: ci:pr

      3. If the latest volume/current issues is/are shelved in reserves, input: ci:res

    4. If the earlier volume is moved to the stacks and the temporary location in the item record for the earlier volume is present -- Follow the DCMM procedures for moving an item record out of a temporary location.
