Withdrawing & Reinstating

WITHDRAWING SINGLE VOLUME MONOGRAPHS

  1. PURPOSE

    -- Withdrawing a single volume monograph which will be replaced

    -- Withdrawing a single volume monograph which will not be replaced

  2. PROCEDURES

    NOTE: The ITEM ID is sometimes available on D115 forms and is routinely available on CLIO-generated search lists.

    1. Discharge the item from any known pseudopatron charge following CLIO Manual procedures. If, in any of the subsequent steps, an item not known to be charged is found to be charged, discharge it before proceeding with the withdrawal.

    2. Determine whether a copy holdings record exists for the copy to be withdrawn. To do this, search CLIO by call number.

      1. If a copy holdings record exists -- Determine whether a copy statement exists for the copy to be withdrawn.

        1. If a copy statement exists for the copy to be withdrawn:

          1. Withdraw the linked item record, if present, for the copy being withdrawn following CLIO Manual procedures for withdrawing an item record.

          2. Deactivate the copy statement for the copy being withdrawn, following CLIO Manual procedures deactivating a copy statement.

          3. If you are deactivating the last active copy statement on the CLIO record, make a printout of the copy holdings statement, write "withdrawn" on the printout and send it to MPA, 101 Butler Library.

          4. If you are deactivating the last active copy statement for your location and there are cards in the card catalog:

            1. Pull the shelflist card and any cards in the department catalog.

            2. Send the shelflist card or main entry card or a photocopy marked withdrawn to MPA, 101 Butler Library.

            3. If your department maintains a card file of withdrawals -- File the shelflist card in this file.

          5. If you are deactivating the last active copy statement for your location and there are no cards and there is at least one active copy statement remaining on the CLIO record, it is not necessary to send any notification to MPA.

        2. If a copy statement does not exist for the copy to be withdrawn but an active copy statement does exist for another copy in your location -- Follow steps II.C. and II.D. below.

        3. If there are no active copy statements for your location -- Withdraw the item manually as if no copy holdings record exists (follow the steps below).

      2. If no copy holdings record exists:

        1. Withdraw the item on the manual shelflist. First, determine from the shelflist whether the withdrawn item is the last copy for your location.

          1. If the item is not the last copy for your location -- Annotate the shelflist card to reflect the withdrawal.

          2. If the item is the last copy for your location:

            1. Pull the shelflist card and any cards in public catalog.

            2. Send the shelflist card or main entry card or a photocopy marked withdrawn to MPA, 101 Butler Library.

            3. If your department maintains a card file of withdrawals -- File the shelflist card in this file.

        2. Follow steps II.C. and II.D. below.

    3. Determine whether an unlinked item record exists for the item to be withdrawn. To do this, search CLIO by call number.

      1. If an unlinked item record exists -- Withdraw it following CLIO Manual procedures for withdrawing an item record.

      2. If an unlinked item record does not exist -- No further action is necessary.

    4. If the item to be withdrawn is in hand -- Stamp it as withdrawn on both the inside front cover and outside on the upper edge of the pages, desensitize it, and send it to Gifts and Exchange.
