Withdrawing & Reinstating

WITHDRAWING SOME VOLUMES OF A SERIAL OR MONOGRAPHIC SET

  1. PURPOSE

    -- Withdrawing some but not all volumes of a serial

    -- Withdrawing some but not all volumes of a monographic set

  2. PROCEDURES

    NOTE: The ITEM ID is sometimes available on D115 forms and is routinely available on CLIO-generated search lists.

    1. Discharge the item from any known pseudopatron charge following CLIO Manual procedures. If, in any of the subsequent steps, an item not known to be charged is found to be charged, discharge it before proceeding with the withdrawal.

    2. Determine whether a copy holdings record exists for the copy to be withdrawn. To do this, search CLIO by call number.

      1. If a copy holdings record exists -- Determine whether a copy statement exists for the copy to be withdrawn.

        1. If a copy statement exists for the copy to be withdrawn:

          1. Withdraw any linked item records present for the volumes being withdrawn following CLIO Manual procedures for withdrawing an item record.

          2. Follow DCMM procedures for correcting volume holdings information.

        2. If a copy statement does not exist for the copy to be withdrawn -- Follow DCMM procedures for correcting volume holdings information. This will indicate to Central Technical Services that a copy statement needs to be added to CLIO.

      2. If no copy holdings record exists:

        1. Withdraw the copy on the manual shelflist card -- Annotate the shelflist card to reflect the withdrawal.

        2. Follow DCMM procedures for correcting volume holdings information. This will indicate to Central Technical Services that the manual record needs to be converted.

        3. Follow steps II.C. and II.D. below.

    3. Determine whether any unlinked item records exist for the item(s) to be withdrawn. To do this, search CLIO by call number.

      1. If any unlinked item records exist -- Withdraw them following CLIO Manual procedures for withdrawing an item record.

      2. If no unlinked item records exist -- No further action is necessary.

    4. If any of the items to be withdrawn are in hand -- Stamp them as withdrawn, desensitize them, and send them to Gifts and Exchange.
