Withdrawing & Reinstating

REINSTATING WITHDRAWN ITEMS

Determine whether a copy holdings record exists for the copy to be reinstated. To do this, search CLIO by title.

  1. If a copy holdings record exists -- Determine whether there are any active copy statements (i.e., copy statements which have not been deactivated) for any location.

    1. If there are any active copy statements -- Determine whether there are any copy statements for your location.

      1. If a deactivated copy statement for your location is present for the copy being reinstated:

        1. Reactivate the copy statement following CLIO Manual procedures for reinstating a copy.

        2. If the item is part of a serial or a monographic set -- Follow DCMM procedures for correcting volume holdings information so that the volume holdings record can be updated.

        3. Activate the linked item record following CLIO Manual procedures or if no item record is linked to that copy statement, barcode the item and create a linked item following CLIO Manual procedures. If the item has a barcode, use that barcode number when creating the linked item record.

      2. If an active copy statement for your location is present for the copy being reinstated (i.e., it was never deactivated):

        1. Check the shelflist and the withdrawn files.

        2. Discharge the item from any pseudopatron charge.

        3. If no evidence of a withdrawal is found -- Reshelve the item.

        4. If the withdrawal is still in process -- Send a printout of the copy holdings record to MSP, 320 Butler Library, Attn: Withdrawals, with note: "Stop withdrawal."

      3. If a copy statement for your location is not present -- Follow DCMM procedures for correcting added copy information.

    2. If there are no active copy statements -- Determine whether your location is present with a deactivated copy statement.

      1. If a deactivated copy statement for your location is present:

        1. Follow the steps in I.A.1. above.

        2. Send a printout of the copy holdings record to Database Maintenance Services with note "REINSTATE."

      2. If a deactivated copy statement for your location is not present:

        1. Follow DCMM procedures for correcting added copy information.

        2. Send a printout of the copy holdings record to Database Maintenance Services with note "REINSTATE."

  2. If a copy holdings record does not exist -- Determine whether there is an unlinked item record for the item. To do this, search CLIO by call number.

    1. If an unlinked item record for the item exists -- Determine whether the item record status is W (withdrawn) or A (active):

      1. If the item record status is W (withdrawn):

        1. Change the status from W (withdrawn) to A (active) by overtyping an a over the W.

        2. Check the shelflist.

          1. If the shelflist card is found -- Annotate the shelflist card (i.e., add the copy number or remove the withdrawal note) and reshelve the item.

          2. If there is no shelflist card -- Delete the item record following CLIO Manual procedures and send the item to CDA as if it were a direct accession.

      2. If the item record status is A (active) -- Follow the steps in I.A.2. above.

    2. If there is no unlinked item record, or if only an unlinked item record for a different item and/or location is found -- Check the shelflist.

      1. If the shelflist card is found:

        1. Annotate the shelflist card (i.e., add the copy number or remove the withdrawn note).

        2. Barcode the item following procedures in the Barcode Placement Document.

        3. Create an unlinked item record, following CLIO Manual procedures.

        4. Reshelve the item.

      2. If there is no shelflist card -- Delete the item record following CLIO Manual procedures and send the item to CDA as if it were a direct accession.
