GUIDELINES FOR SERIAL SURROGATES

  1. CATALOGING NEW SERIALS & TITLE CHANGES

    1. Cataloging a new serial or a new record resulting from a serial title change requires that an issue or volume of the serial title be routed to SPS, in the OSMC Dept.

    2. The first issue of the serial title is strongly preferred; but the earliest issue available or another issue can be used when that is not possible.

    3. Generally, surrogate photocopies from issues are not acceptable for cataloging a new serial title or a new record resulting from a title change.

  2. SERIALS CATALOG MAINTENANCE REQUESTS

    1. Actual issues may also be sent with catalog maintenance requests for serials already cataloged -- that is, in cases where changes have occurred in the serial publication that should be recorded but which do not require a new record.

    2. Surrogate photocopies from issues are an acceptable substitute when that is more convenient.

    3. Sending such surrogates in addition to report forms, notes, letters from vendors or publishers, etc. helps improve the quality of maintenance catalogers can provide and increases the likelihood that the maintenance can be completed quickly with information provided.

  3. AN ACCEPTABLE SERIAL SURROGATE

    1. Comes from an issue showing the change that needs to be recorded (preferably the first such issue).

    2. Includes photocopies of the following:

      1. title page (if there is one)

      2. cover (especially when there is no title page)

      3. chief title source if there is no title page or cover

      4. location(s) showing the identifying numeric and/or chronologic designation(s) of the issue

      5. location(s) showing place of publication and publisher

      6. location(s) showing the change(s) being reported: frequency, issuing body, etc.
