CLAIMING EBSCO SUBSCRIPTIONS

  1. BACKGROUND

    In August 1994, Columbia University Libraries moved most domestic, Dawson/Uk and some additional foreign subscriptions to EBSCO. During the transition period, the VENDOR field contains codes for EBSCO but claims and other correspondence must still be sent to the previous vendor. EBSCO assumes responsibility for most subscriptions in January 1995.

  2. PROCEDURES

    Vendor field has an EBSCO code, e.g, ebs12.

    Check the REF field for a previous vendor.

    1. Previous vendor not listed--Issue claim as usual to EBSCO.

    2. Previous vendor listed.

      Example: FMLY THRU FAXON 406-F8962

      Check coverage of previous payment to see if missing issue is the responsibility of the old vendor or EBSCO.

      1. EBSCO's responsibility--Claim as usual.

      2. Previous vendor's responsibility

        1. Input ag=<old vendor code> at the end of the claim. If the claim is too long, omit your initials.

          Example: ag=REA

          This will print a message saying:

          Our records indicate that we have a subscription for the above title through our agent REA.

        2. SAS will know to mail the claim or correspondence to the correct vendor.
