Serials Checkin

CLAIMING GIFT AND EXCHANGE ISSUES DURING SERIALS CHECKIN

  1. BACKGROUND

    This document provides instructions for routine claiming of gift and exchange material as part of the serials checkin process. Gift and Exchange material has a fund code of GIFTS or EXCHS in the FC field of the OPR record.

  2. PROCEDURES

    When checking in gift and exchange periodical issues, check previous receipt lines for missing issues or unfilled claims.

    1. Missing issue noticed for the first time.

      1. Input cstm m

      2. For exchanges, input emi=<missing volume>;a;t;nv=<your name>

        Example: emi=v.21:no.1 (1994);a;t;nv=Kate

      3. For gifts, input gmi=<missing volume>;a;t;nv=<your name>

        NOTE: If the vendor is a person, e.g., a professor, do not claim. Consult a supervisor if missing issues are discovered. Claim issues only if the donor is a corporate body, e.g., a bank or society.

      4. Tab to the AD date and overtype "none" with today+42

        NOTE: Claims generally take six weeks to fill. If the claim is not filled within six weeks, or if the claim is not erased when the issue is received, the claim will print on the Expired Action Request List for follow-up.

      5. Enter with the DONE prompt.

        This will generate the following memo, which will include system-supplied bibliographic information:

         Our records indicate we regularly receive the above title
         on a gift/exchange basis.  We have not yet received
         v.21:no.1 (1994).  Please send or advise.
         
         If shipment was made within the last 30 days please do not
         ship again.  To aid in processing please return this form
         with your shipment.
         
         Thank you.

    2. Unfilled first claim noticed and enough time has elapsed for the claim to be filled.

      1. Input cstm m

        Example: emi=v.21:no.1 (1994);prc=2nd;a;t;nv=Kate

      3. For gifts, input gmi=<missing volume>;prc=2nd;a;t;nv=<your name>

      4. Enter with the DONE prompt.

        This will generate the following memo, which will include system-supplied bibliographic information:

         on a gift/exchange basis.  We have not yet received
         v.21:no.1 (1994).  Please send or advise.
         
         This is our 2nd claim.  Please respond.
         
         If shipment was made within the last 30 days please do not
         ship again.  To aid in processing please return this form
