CLAIMING REPLACEMENTS FOR DAMAGED MATERIAL DURING SERIALS CHECKIN

  1. BACKGROUND

    This document provides instructions for routine claiming of a perfect copy when an item is received in damaged condition from a publisher or vendor.

    Consult a supervisor or selector before claiming a perfect copy. The damage may be within acceptable limits, or the material may be in such demand that it is not possible to wait for a replacement, or the material may be extremely rare or difficult to acquire.

  2. PROCEDURES

    Damaged issue received.

    1. Input cstm m

    2. Input dmg=<damaged volume>;t;nv=<your name>

      Example: dmg=v.21:no.1 (1994);t;nv=Kate

    3. Tab to the AD date and overtype "none" with today+42

    4. Enter with the DONE prompt.

      This will generate the following memo, which will include system-supplied bibliographic information:

       We have received v. 21:no.1 (1994) in damaged or imperfect
       condition.  Please send a replacement.
       
       Thank you.
       
       Kate
      

    5. Hold the issue until a response is received from the vendor.

      1. The vendor may request that you return the damaged or imperfect issue.

      2. If you do not receive a response or the vendor will not supply a replacement, consult SAS or supervisor
