CLAIMING PERIODICAL ISSUES USING THE EXPIRED ACTION REQUEST LIST (EARL)

  1. BACKGROUND

    This document provides instructions for routine claiming of periodical issues as part of reviewing the Expired Action Request List (EARL). Consult additional DCMM documents if claiming during the serials checkin process.

    The EARL is mailed to departmental library supervisors by SAS. Departmental libraries are responsible for reviewing the list and claiming or adjusting action dates as appropriate.

  2. PROCEDURES

    1. Display the OPR record using the CLIO ID.

    2. Check the EARL to see what type of action date has expired, i.e., order scope, receipt, claim or note.

      1. Order Scope Date

        001 BN 1991- E 0.00 EN 00 MD 07/13/93 AD 08/12/94

        1. Current year invoice payment present -- Change the AD date to 12/01/<current year>.

          Example: 12/01/94

        2. Current year payment not present -- Notify SAS immediately.

      2. Receipt Line Date

        1. More recent receipt line(s) present -- Delete the previous date. Only the most recent receipt should have a date.

        2. No more recent receipt lines present and claim is appropriate.

          NOTE: It may be necessary to check the shelves to ensure that a receipt was not overlooked.

          1. Claim next expected issue if enough time has elapsed to warrant a claim.

          2. Adjust action date forward, estimating the amount of time necessary for a response from the vendor. Input today+<no. of days> or rekey the date.

            Example: today+42

        3. No more recent receipts and claim is not appropriate because the Action Interval was incorrectly set.

          1. Adjust the date in ACTINT field.

          2. Adjust the date in the AD field.

      3. Note Line and Claim Line Dates -- Note and Claim line dates are used primarily by SAS to prompt follow up on outstanding problems. Print the OPR record and send it to the individual who signed it. If in doubt, send the printout to SAS
