Serials Checkin

SERIALS BINDING WORKFLOW

  1. PREPARATION OF UNBOUND ISSUES FOR THE BINDERY

    1. Collate the items to be bound.

    2. Determine if any issues are missing.

      1. Claim missing issues; follow the DCMM procedures for claiming periodical issues during serials checkin.

      2. If missing issues have already been claimed 3 times, contact the subject bibliographer or selector to determine if the missing issues should be replaced.

        1. If missing issues are to be replaced:

          1. return the issues to the current shelves, OR

          2. place the issues on the problem shelf. Insert a receipt statement in the OPR record indicating the new location. For example:

          ON PROBLEM SHELF: v.1:no.1 (1976:Jan.)-v.1:no.11 (1976:Nov.)

        2. If missing issues are not to be replaced, bind what you have as an incomplete volume.

    3. When the bundles have been prepared for binding and are being boxed, input a receipt line on the OPR record indicating what items are being bound. Follow the CLIO Manual procedures for formatting receipt lines in the MARC Holdings Format.

  2. BOUND VOLUMES RETURNED FROM THE BINDERY

    1. Examine the item to determine if any binding errors have occurred. Follow local procedures for handling binding errors.

    2. Determine if a barcode is present on the item.

      1. If a barcode is present, discharge the item.

        1. If an ITEM ID NOT FOUND message is generated, send the item to SPS.

        2. If a CANNOT DISCHARGE message is generated, send the item to SPS.

      2. If no barcode is present on the item, send the item to SPS.

    3. Property stamp the bound volume.

    4. Review the OPR record. Delete the AT BINDERY receipt line.

    5. Review the OPAC display to ensure that the AT BINDERY receipt line is deleted and that the volume holdings statement has been updated.

    6. Pull the binding slips from the manual file
