Image Capture - Methods & Cost

  1. Digital capture from 35mm slide intermediaries
  2. Cost of capture/associated metadata contribution - $1-3/slide = $1,853 - $5,559
  3. Time estimated to capture - <3 months
  4. Quality control/handling costs - student assistants - $9/hr - 400hrs - $3,600
  5. Number of objects specified in the contract - 1,853 @ $2 = $3706
  6. Digital capture of photographic prints
    1. 8x10 black/white prints - total number - 432 -- cost of capture/q.c./associated metadata contribution - $9/print = $3,888 --[estimate based on 216 hrs (30 min/print) for a Digital Technician @ $18/hr = $3,888]
    2. 8x10 photogravures [?] - total number - 153 --cost of capture/q.c./associated metadata contribution - $12/print = $1836 --[estimate based on 102 hrs (40 min/print) for a Digital Technician @ $18/hr = $1,836]
    3. Lab Management cost - 9 weeks of production - 5% Lab Supervisor's time - $425

Digitization of the photographic prints will be performed in-house: all associated costs will be contributed as matching funds - total cost - $6,149

Vendor Responsibilities

Vendor will be responsible for receiving up to 2000 objects from CUL, scanning these materials, generating appropriate derivative files, amending the metadata file, and delivering the image sets on CD-R.  The vendor will be responsible for guaranteeing the quality of images, metadata, and delivery media.

The following describes the vendor's project responsibilities:

  1. Transportation of Materials Vendor will provide pickup and delivery services; frequency to be determined jointly according to feasible production level.

  2. Scanning Procedures

    1. Calibration
      1. Vendor will provide quantifiable evidence of hardware calibration by providing scans of appropriate resolution targets and color bars/grayscales at regular intervals throughout the scanning phase of the project.
      2. Vendor is expected to provide a digital product that represents the full range of information available from the scanned material without recourse to image enhancement.
      3. Vendor and CUL will cooperate to insure viewing equipment at both sites is calibrated to ICC standards and maintained throughout the length of the project.

    2. Image Generation
      1. Uncompressed Image - Minimum pixel depth of 8-bit/channel. Minimum spatial resolution of 300dpi. This resolution may not be achieved by interpolation. No sharpening, image enhancement, or compression will be applied. Images will be delivered in TIFF format.
      2. Viewing Image - Spatial resolution 1000 pixels or more in the long dimension of the object. Levels of appropriate sharpening or other image manipulation will be determined prior to the production phase of the project. Files may be compressed to achieve suitable file size.
      3. Reference Image - Spatial resolution of 640 pixels or more in the long dimension of the object; Levels of appropriate sharpening or other image manipulation will be determined prior to the production phase of the project. Files may be compressed to achieve suitable file size
      4. Thumbnail Image - Spatial resolution of 200 pixels or more in the long dimension of the object; Levels of appropriate sharpening or other image manipulation will be determined prior to the production phase of the project. Files may be compressed to achieve suitable file size.

    3. Metadata - Vendor will implement the naming schema and amend the database provided by CUL staff to supply requisite object and project level metadata information.

    4. Post-Processing
      1. Cropping - Scans will be cropped to the image with a border allotment that ensures that all edges of the original material have been captured.
      2. Rotating - Objects will be scanned with the correct spatial orientation to maximize the legibility of the captured information.
