SERIES HEADINGS ON PRELIMINARY AND TRACKING RECORDS

Authority Procedures

  1. BACKGROUND

    Use this document only for basic instructions on inputting series information on preliminary and tracking records. It may be necessary to consult additonal CPM, NACO or LC documentation when fully cataloging an item or if a serial record is found in CLIO or OCLC/RLIN.

  2. Search series in CLIO using a jt search. If an exact match is found determine whether or not item in hand can be added to a serial record.

  3. If item in hand can not be added to the serial, determine form of series heading to use:

    1. If authority record is present, copy into a 440 field the form of the series title found in the 130 field of the authority record. Input volume numbering from piece in hand in subfield v

    2. If authority record is not found, copy form of series from existing bibliographic record(s). Copy form from 830 or 440 into a 440 field.

      Input the series from the example above as shown below. Note that it is necessary to check the bibliographic records for punctuation and captialization.

      440: 0: ArtScroll history series

    3. If multiple records are found, prefer the form found in the following order:

      • Authority record
      • CU STATUS h bibliographic record
      • CU STATUS g bibliographic record
      • HS bibliographic record
      • CU acquisitions record

    4. If no exact match for the series is found in CLIO, copy series from book in hand into a 440 field, recording the volume number in subfield v.

  4. If item has more than one series, follow steps above for each series.
