BOUND WITHS

Bibliographic Record Procedures

BACKGROUND

These procedures should be used to catalog items made up of independent works that have been bound or cased together. There will be separate bibliographic records for each of the individual works. The procedures listed here are those that are unique to this type of item; all other cataloging procedures should be followed.

Use codes b and bw for paper items bound together. Use codes c and cw for items that are cased together.

Procedures for filmed withs are in a separate document.

Procedure

  1. Searching

    1. Search each title according to standard procedures.

    2. If acceptable copy is found for each title, process the item according to procedures below. If copy is not found for one or more titles, create a tracking record on the basis of the first item and route with any cards and/or copy found to OSMC2 for cataloging.

  2. Copy Holdings Records

    1. COPY STATUS--Code the copy status code that is appropriate for item in hand. (Single volume monographs should have COPY STATUS 1)

    2. CALL NUMBER--Assign/transcribe call number on the basis of the first item. Input the same call number in the record(s) for the other titles.

    3. Do not code vv. at the end of the call number, unless the item is part of a multivolume set or serial.

    4. FIRST WORK IN THE VOLUME--Input notation code bw or cw in the CLNF.

    5. SECOND AND ANY SUBSEQUENT WORKS IN THE VOLUME--Input notation code b or c in the CLNF.

  3. Create a MHLD records

    1. Code E/L 1. If one of the titles within the bound with is a multivolume set, create the MHLD record as usual but add an additional 866 field as described below.

    2. Create 866

      1. FIRST WORK IN THE VOLUME (bw)--Code a bound with note saying that the item is bound with other works.

        Example

        866: 1:0|z Bound with other works.

      2. SECOND VOLUME(S) (b)--Code a Bound With note citing the author, title and date of the first item.

        Example

        866: 1:0|z Bound with: Crane, Stephen, 1871-1900. Maggie. 1937.

  4. ITEM RECORD--Link the item record to the first work in the volume.

  5. MARKING--The call number for the first work should be marked on the t.p. verso of that work only.
