FORMATTING CALL NUMBERS

BACKGROUND

There are many different types of call numbers used in current cataloging and even more to be found on our manual catalog cards. When coding a new call number or transcribing call numbers from a GC card, it is important to code each call number correctly to ensure its proper indexing and retrieval in CLIO.

It is further important to recognize that many records in CLIO have been loaded from RLIN or via OCLC RECON. RLIN-generated records can be recognized by frequent semicolons (;) and dashes (-) used to separate portions of call numbers. OCLC RECON records typically do not have |c but have a semicolon (;) instead.

  1. GENERAL POINTS

    1. Input the CLASS NUMBER (i.e. the portion of the call number up to the last cutter) into |b

      1. Do not input a space between the class letter(s) and class number.

        Example:

        AM70 (LC)
        AA50 (Avery)

      2. If the LC call number has a double Cutter/double decimal, do not input a space between the class number and the double Cutter/double decimal.

        Example: SB612.U8 |c H6 1977

      3. If the LC or Avery/Fine Arts class number requires a date or other subdivision, e.g., symphony number, treaty date or census date, input a space before it.

        Example:

      4. Do not input any spaces in Dewey class numbers.

      5. For other classification schemes, follow specific rules for that scheme.

    2. Input the BOOK NUMBER (i.e. the portion of the call number that begins with the last cutter) into |c. Input a space before the publication date in LC call numbers.
